Overview The Order Management and Supply Chain Coordinator manages customer orders and material flow from order entry and inventory coordination through shipping, invoicing, and delivery. This customer-facing role works across departments to ensure accurate records and the timely, compliant delivery of temperature-sensitive products. Responsibilities Process customer orders, confirming pricing, availability, lot assignments, customer requirements, and shipping details. Coordinate with Sales and Production to prioritize orders, request production, maintain lead times, and communicate changes or delays. Respond to customer inquiries and process order changes, cancellations, returns, and related documentation. Receive and inspect deliveries; resolve shortages, damage, or errors with suppliers and carriers. Maintain accurate customer, order, inventory, lot-tracking, shipment, and communication records in applicable systems. Reconcile physical and system inventory, investigate discrepancies, and maintain organized and secure storage areas. Pull, kit, label, pack, and ship orders, including temperature-sensitive products requiring dry ice. Prepare required domestic and international shipping documentation, including commercial invoices, certificates of analysis, harmonized codes, and dry ice declarations. Schedule carrier pickups, track deliveries, and resolve shipping exceptions. Submit invoices, maintain supporting records, and assist with accounts receivable follow-up. Follow

Qualifications Required At least two years of related experience in order management, customer service, inventory, receiving, shipping, purchasing, or fulfillment. Experience with an ERP, inventory, order management, or similar business system. Working knowledge of invoicing, accounts receivable, Microsoft Office, and Excel. Strong accuracy, organization, record-keeping, communication, customer service, and problem-solving skills. Ability to manage changing priorities and collaborate effectively across departments. Preferred Experience in life sciences, biotechnology, IVD, pharmaceuticals, specialty chemicals, or cold-chain logistics. Experience with ISO 9001, regulated documentation, international shipping, or dry ice declarations. Familiarity with Fishbowl, HubSpot, QuickBooks, SciNote, lot tracking, certificates of analysis, production planning, or supply chain coordination. Physical Requirements and Work Environment This on-site position includes desk and floor responsibilities. The employee must be able to stand for extended periods, move throughout production and storage areas, lift up to 35 pounds, and safely handle dry ice and chilled or frozen biological products.
