Food Donor and Logistics Coordinator Position Summary The Food Donor and Logistics Coordinator connects food donors, drivers, warehouse operations, and inventory management to ensure donated food moves safely and efficiently into the communities we serve. This is a combination of professional and manual-labor position that includes donor relations, logistics coordination, fleet monitoring, regulatory compliance, record keeping, and hands-on warehouse support. The ideal candidate will enjoy working with people, solving problems, using technology, and assisting with physical warehouse operations. Every successful donor visit, pickup, freight delivery, and accurate record helps rescue more food, reduce waste, and provide meals to families throughout South Georgia. Essential Duties and Responsibilities Donor Relations and Development Visit grocery stores, manufacturers, farmers, restaurants, and other food donors throughout the service area. Build and maintain professional relationships with current and prospective food donors. Train donors on food donation procedures, food safety expectations, product handling, documentation, and preparation for pickup. Help donors establish dependable pickup schedules that meet their needs and the organization's transportation capacity. Identify opportunities to increase donations and improve the efficiency of donor partnerships. Respond professionally and promptly to donor questions, concerns, missed pickups, and service issues. Transportation and Logistics Develop and coordinate recurring and special food-donation pickup schedules. Schedule incoming freight loads, outbound deliveries, dock appointments, and product transfers between facilities. Coordinate with donors, drivers, warehouse personnel, vendors, transportation companies, and partner agencies. Use the Samsara® telematics system to monitor vehicle locations, routes, arrival times, driver activity, and overall fleet performance. Communicate schedule changes, delays, and route adjustments to the appropriate staff and partners. Help resolve transportation and scheduling issues to keep pickups and deliveries operating safely and efficiently. Compliance and Record Keeping Review donation, pickup, delivery, receiving, and transportation paperwork for accuracy and completeness. Ensure product descriptions, weights, temperatures, donor information, dates, signatures, and other required information are properly documented. Maintain accurate records in the organization's inventory and donor databases. Correct documentation issues and follow up with donors, drivers, and staff when information is missing or inaccurate. Support compliance with food-safety requirements, donor agreements, organizational policies, and applicable state and federal regulations. Assist with donor reporting, inventory reconciliation, chain-of-custody documentation, and other compliance records. Maintain organized electronic and paper files that are accurate, current, and available for audits or inspections. Warehouse and Inventory Support Assist the warehouse and inventory teams with receiving, unloading, product movement, inventory verification, order preparation, and other daily responsibilities. Operate a forklift and other material-handling equipment when trained and authorized. Help inspect incoming donations and freight for condition, quantity, temperature, food safety, and documentation. Assist with maintaining accurate inventory records and resolving discrepancies. Follow warehouse safety procedures and help maintain a clean, orderly, and professional work environment. Perform other duties as needed to support donor services, transportation, warehouse operations, and the organization's mission. Education and Experience A college degree in logistics, supply-chain management, business, nonprofit management, agriculture, or a related field is preferred. Relevant professional and operational experience may be considered in place of a college degree. Experience in logistics, transportation, food distribution, warehouse operations, inventory control, donor relations, customer service, or a related field is preferred. Forklift operation experience is preferred. The successful candidate must be willing and able to complete any required forklift training and certification. Experience in using databases, inventory-management systems, transportation software, Microsoft Office, and electronic record-keeping systems is preferred. Experience with Samsara or another fleet-management or telematics system is helpful but not required. Knowledge, Skills, and Abilities Excellent organizational and time-management skills. Strong attention to detail and commitment to accurate record keeping. Ability to understand and consistently follow compliance requirements, food-safety procedures, and organizational policies. Strong written and verbal communication skills. Ability to develop positive professional relationships with donors, vendors, drivers, staff, and community partners. Ability to manage multiple schedules, priorities, and unexpected changes in a fast-moving environment. Comfortable using computers, databases, mobile devices, fleet-monitoring systems, and other workplace technology. Ability to work independently while also contributing as part of a team. Sound judgment and the ability to remain calm and professional when resolving problems. Willingness to divide time between professional office and donor-facing responsibilities and hands-on warehouse work. Physical and Work Requirements This position requires regular travel to donors and partner locations. The chosen candidate will work in offices, warehouses, loading docks, refrigerated, freezer, and outdoor environments. The employee must be able to stand and walk for extended periods, bend, reach, climb in and out of vehicles, and safely lift and move products and equipment consistent with established workplace safety requirements. The position may involve working around forklifts, commercial vehicles, loading docks, refrigeration equipment, and changing weather conditions. Occasionally early mornings, evenings, or schedule adjustments may be required to support donor pickups, incoming freight, special events, or emergency operations. A valid driver's license and acceptable driving record are required. This position offers the opportunity to combine professional relationship-building and logistics coordination with meaningful, hands-on work. It is an ideal role for someone who wants to see the immediate impact of their efforts while helping rescue food and serve families across South Georgia. Schedule Monday through Friday, 7:30 a.m. to 4:30 p.m., with a one-hour lunch. Some Saturdays, Sundays, or late hours may be scheduled as needed for special events, Points of Distribution, disaster recovery, or other emergencies.
