SprintBach Aviation is a Part 135 charter operator flying Pilatus PC-12s out of Caldwell, Idaho (KEUL). We're hiring a Charter & Flight Operations Coordinator to help run the day-to-day logistics behind every charter trip. You'll take trips from quote to invoice: quoting trip requests, confirming aircraft and crew availability, notifying FBOs, booking crew hotels and cars, releasing flights, tracking aircraft in real time, and keeping clients, brokers, pilots and accounting informed at every step. It's a hands-on role for someone who likes keeping a lot of moving pieces on track.

What you'll do

Quote and book

Receive quote requests from brokers and clients, check each quote for accuracy, and send it back promptly.

Confirm aircraft availability on the master schedule before any trip is confirmed, including conflicts with flights the day before and after.

Finalize booked trips in our scheduling system, send the preliminary itinerary, and follow up with brokers to confirm the trip is scheduled and explain how to complete payment.

Prepare each trip

Verify passenger names, luggage, times, routing and FBOs; remove duplicate or incorrect repositioning legs; and follow up with brokers until passenger information is complete.

Send FBO notifications and call each FBO to confirm the arrival, event fees and any PPR requirements.

Book crew hotels and rental cars.

Check crew duty and rest times against Part 135 limits before confirming any schedule or time change.

Day of flight

Review every flight first thing each morning and send final itineraries for same-day departures.

Send brokers final pre-flight details for each trip: tail number, passenger count, departure time and FBO.

Complete flight releases.

Track every aircraft on FlightAware throughout the day and confirm each is in position.

Ongoing

Triage the Charter and Flight Ops inboxes and phone lines throughout the day, responding promptly to brokers, clients, pilots and FBOs.

Enter company expenses for each trip and keep operations spreadsheets up to date.

Requirements

Required

1-2 years in a detail-heavy coordination role: dispatch, scheduling, travel coordination, logistics or customer operations.

Strong written and phone communication skills.

Able to juggle several time-sensitive tasks at once without dropping follow-ups.

Sound judgment on when to act and when to escalate.

Comfortable learning new software quickly; working knowledge of spreadsheets.

Available for early-morning starts and occasional after-hours contact when flights are moving.

Preferred

Experience in Part 135 charter, flight dispatch, FBO or airline operations.

Familiarity with JetInsight, FlightBridge or FlightAware.

Working knowledge of crew duty and rest limits, weight and balance, and airport and runway requirements.
