Job Description

Position Summary:
The Supply Chain Coordinator provides administrative support for the supply chain operations of Vivify Industrial, Heritage Color Dispersions, and Sandream. This role is responsible for processing planned purchase orders, maintaining accurate data in NetSuite, coordinating with suppliers and logistics partners, and ensuring purchasing documentation is complete and up to date. The ideal candidate is organized, detail oriented, and able to manage multiple administrative tasks in a fast paced environment. Key Responsibilities Purchasing Administration Process planned purchase orders accurately and in a timely manner. Review and approve less than full container shipping quotes. Record freight costs and landed costs in the ERP system. Reconcile supplier invoices that do not match purchase orders. Respond to urgent purchasing requests and expedite orders when required. Supplier Coordination Communicate with suppliers regarding purchase orders, production status, expected ship dates, and delivery schedules. Follow up on open purchase orders to ensure commitments are met. Track pre shipped samples and coordinate timely delivery and approvals. Build and maintain positive working relationships with suppliers. Escalate supply or delivery issues to the Supply Chain Manager as appropriate. Work with sourcing manager if pricing negotiations are needed. ERP and Data Management Maintain accurate supplier master data, including lead times, transit times, and other purchasing information. Ensure purchase orders, supplier records, and cost data are accurate and up to date in NetSuite. Record and maintain shipping documentation, including Certificates of Analysis, packing lists, bills of lading, customs documentation, invoices, and related records. Ensure purchasing documentation complies with company procedures and recordkeeping requirements. Logistics Coordination Coordinate with suppliers, freight providers, customs brokers, and warehouse personnel to support timely deliveries. Monitor shipment status and communicate delays or issues to internal stakeholders. Assist with resolving shipping and receiving discrepancies. General Support Follow established purchasing and supply chain standard operating procedures. Identify opportunities to improve administrative processes and data accuracy. Support Supply Chain Managers with administrative tasks as needed. Perform other duties as assigned. Qualifications and Requirements Associates degree preferred but not required. Equivalent work experience will be considered. One to three years of experience in purchasing, procurement, supply chain, customer service, or a related administrative role. Experience using ERP systems. NetSuite experience is a plus. Experience working with international suppliers or import documentation is a plus Proficiency in Microsoft Excel and other Microsoft Office applications. Basic understanding of purchasing and supply chain processes. Strong organizational and administrative skills with exceptional attention to detail. Ability to manage multiple priorities while maintaining accuracy and meeting deadlines. Strong written and verbal communication skills with the ability to work effectively with suppliers and internal teams. Demonstrated ability to follow established procedures while exercising sound judgment when issues arise. Self-motivated with the ability to work independently and proactively follow up to ensure tasks are completed. Commitment to maintain accurate records and comply with company policies and ethical business practices.

$25.00 per hour
