Position Summary Hercules Custom Iron is seeking an organized, detail-oriented Logistics & Tool Room Coordinator to manage shipping and receiving activities, coordinate deliveries, maintain the tool room, and ensure accurate tracking of tools, equipment, and materials. The ideal candidate is highly computer literate, process-driven, and capable of developing Standard Operating Procedures (SOPs) that improve organization, accountability, and efficiency. Key Responsibilities Shipping & Logistics Coordinate inbound and outbound shipments, deliveries, and pickups. Schedule freight carriers, vendors, and company drivers. Prepare bills of lading, packing slips, shipping labels, and related documentation. Verify shipment quantities and accuracy and resolve discrepancies. Track shipments and communicate delivery status or delays. Coordinate materials between the shop, vendors, and project sites. Obtain freight quotes and help control transportation costs. Maintain accurate shipping and receiving records in company systems. Tool Room & Inventory Maintain a clean, organized, and secure tool room. Issue and receive tools and equipment and maintain accurate check-out records. Track tool assignments, locations, condition, and inventory electronically. Follow up on overdue, missing, or damaged tools. Coordinate tool repairs, maintenance, and replacement. Remove damaged or unsafe tools from service. Receive, label, catalog, and store new tools and equipment. Conduct cycle counts and physical inventories and reconcile discrepancies. Maintain appropriate inventory levels for tools, consumables, and supplies. Prepare and coordinate tools and equipment needed by field crews. SOPs & Process Improvement Develop, document, and maintain SOPs for shipping, receiving, tool management, and inventory control. Create forms, checklists, logs, and digital tracking systems. Identify opportunities to reduce shipping errors, lost tools, unnecessary purchases, and administrative work. Help establish consistent processes and accountability across shipping and tool room operations. Qualifications 3+ years of experience in shipping, logistics, warehouse, inventory, tool room, or related operations. Manufacturing, fabrication, construction, or industrial experience preferred. Strong computer literacy is required , including the ability to quickly learn new software. Proficiency with Microsoft Excel, Word, Outlook, and Teams. Experience with ERP, inventory, asset management, or shipping software preferred. Experience developing SOPs and process documentation preferred. Strong organizational, communication, and problem-solving skills. High attention to detail and commitment to accurate recordkeeping. Physical Requirements Ability to work in office, warehouse, and manufacturing environments. Ability to regularly walk, stand, bend, and reach.
