Job Summary The Senior Managed Vendor Services Coordinator is responsible for the scheduling of onsite and offsite vendor-performed calibrations, maintenance, and repair activities to ensure quality, on-time delivery, and GxP compliance. The successful candidate has extensive knowledge of vendor and equipment service coordination as it relates to calibration and maintenance activities and is a proactive, detail-oriented self-starter who effectively manages competing priorities and executes responsibilities independently in a dynamic, team-oriented, fast-paced environment. Key Responsibilities Coordinate vendor-performed calibration and maintenance activities between external service providers and internal customers, ensuring seamless integration of external services with internal operations to achieve desired results. Work collaboratively with departmental management, the scheduling/planning team, internal customers, Finance/Procurement, asset owners, and external vendors to support daily calibration and maintenance activities. Maintain responsibility for assigned workload within the CMMS, including schedule coordination, status tracking, documentation review, record updates, and work order closure. Request, review, and compare vendor quotations for maintenance, calibration, repair, and support services. Coordinate with internal stakeholders to ensure service requirements, scheduling needs, and budget expectations are met in accordance with procurement procedures. Work with key stakeholders to identify, escalate, and resolve issues in a timely manner. Coordinate onsite vendor visits and off-site equipment service, including scheduling, equipment owner coordination, vendor site readiness, escort arrangements, shipping and receiving, and equipment pick-up and return. Ensure vendors complete scheduled services as required and document adjustments, repairs, equipment changes, and other work performed to maintain accurate asset history and regulatory compliance. When escorting, receive and review vendor service documentation for completeness and compliance with applicable GxP, GDP, and site requirements. Sign vendor service tickets or coordinate asset owner review and signatures, as required. Verify applicable calibration and maintenance labels are properly applied and complete associated equipment logbook entries, where required. Submit service documentation to appropriate personnel or upload vendor documentation to the CMMS, as applicable. Notify applicable parties of out-of-tolerance events, failures, or observed issues that may prevent equipment from being returned to service in a timely manner. Reconcile vendor invoices for maintenance, calibration, and repair services by verifying service completion, validating charges against quotations, purchase orders, and service documentation, and resolving discrepancies to support accurate and timely payment processing. Identify trends, inefficiencies, and opportunities for continuous improvement and recommend actions to improve departmental processes and performance. Participate in all job-related training. Perform work safely and in compliance with applicable site requirements. Experience, Skills & Physical Requirements High School Diploma or equivalent required. 4+ years of experience in maintenance, calibration, facilities, vendor management, or service coordination 2+ years within a GxP environment Experience with SAP MM is required Experience in CMX is preferred Demonstrated knowledge of maintenance and calibration processes, vendor coordination, CMMS systems, and GxP-regulated operations. Proficiency in Microsoft Office applications Strong written and verbal communication skills with the ability to effectively interact with personnel at all organizational levels, including internal stakeholders and external service providers. Strong attention to detail, and commitment to accuracy, compliance, and customer service. Ability to perform routine physical activities associated with an office and operational environment, including standing, walking, sitting, bending, stooping, crouching, reaching, and using stairs as needed throughout the workday. Ability to occasionally lift, carry, push, or pull approximately 25-35 lbs, with the ability to occasionally lift up to 50 lbs using proper body mechanics, assistance, or appropriate lifting techniques when needed.

$40.00 - $50.00 per hour Expected hours: No more than 40.0 per week
