Job Description

We are seeking a dependable, organized, and customer-focused Office Assistant to support our Dispatch and Scheduling Manager. This position is ideal for someone who enjoys working in a fast-paced office environment, communicating with clients, and helping keep daily transportation operations running smoothly. The successful candidate will assist with scheduling client transportation, answer incoming phone calls, provide administrative support, and occasionally transport clients when needed. Key Responsibilities Answer and direct incoming phone calls in a professional and courteous manner. Assist the Dispatch & Scheduling Manager with daily scheduling and route coordination. Schedule transportation services for clients and update schedules as needed. Communicate with drivers and clients regarding appointments, delays, and schedule changes. Maintain accurate records and update client information in scheduling software. Provide general administrative and clerical support, including filing and data entry. Monitor office communications and respond to emails promptly. Occasionally transport clients safely to and from appointments or destinations using company vehicles. Assist with other office and operational duties as assigned. Qualifications High school diploma or GED required. Previous office, customer service, dispatch, or administrative experience preferred. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Proficiency with Microsoft Office and basic computer applications. Ability to work well in a fast-paced environment and maintain attention to detail. Valid driver's license with a clean driving record. Ability to pass any required background checks and drug screening. Friendly, dependable, and professional attitude. Preferred Skills Experience in transportation, logistics, or medical transportation is a plus. Experience with scheduling or dispatch software. Strong problem-solving and customer service skills.
