PURPOSE:
The role of Logistics Coordinator is to move and monitor incoming/outgoing railcars, between Great Falls and the refinery, loading/unloading, switching/releasing and Bill of Lading (BOL)processing. Work with the local BNSF yard to maintain our switches in a timely and accurate fashion. Work with external customers for shipping/receiving purposes and forward completed BOL's as necessary, and to maintain customer relations to continue smooth movement of product. This role also requires working and communicating with different departments on a daily basis. This role typically works 6 AM - 4 PM and requires weekends and rotating holidays to be worked.KEY OBJECTIVES AND RESPONSIBILITIES
Daily Operations Request daily trains and assign products for railcars entering & leaving the plant Bill railcars accurately and efficiently after loading or unloading twice daily. Maintain Scheduling and coordination tools daily with all loaded, unloaded, and stored railcar activities Manage customer constraints and requests when specific to loading Communicate as needed with rail loading crews & lab for updates, provide lists for feedstocks, and incoming empty cars to the plant. Assist with creating Propane & NaHS truck BOLs, ticket all finalized Propane truck Shipments, maintain record of all NaHS truck shipments, and email copies of BOLs to customers. Send end-of-day rail reports & capture daily metrics. Managing Pipeline Track and trace all shipments made to verify destination and waybill information is accurate. Track and trace release line from loaders to verify all cars will be picked up by BNSF Manage car counts in plant to help minimize demurrage & CP counts in the Great Falls yard. Target order inbound cars expected to arrive before midnight to minimize demurrage. Maintaining Customer Communications Ensure accurate responses to customer inquiries Provide timely responses to requests for information or copies of BOLs Manage BOL email distribution lists in SAP Communicate with Key partners/customers regularly to maintain strong relationships (TDC/BNSF) Maintaining Records Update loaded inbound status and verify products on BOL's prior to spotting. Organize and file all shipment records. Work weekly with Yield accounting to ensure W-tanks are accurate and up to date. Manage all no-shows, unavailable, extra cars, and pipeline misses daily. Verify railcar numbers & dates on detention. Additional duties as assigned.REQUIRED EDUCATION/EXPERIENCES
: High school diploma or High School Equivalent required.PREFERRED EDUCATION/EXPERIENCES
: Associates or Bachelor's degree preferred. Three years transportation/logistics experience preferred.COMPETENCIES
High proficiency in utilizing Microsoft Excel and web-based systems. Must possess excellent organizational and communication skills. Ability to work effectively in a competitive team environment High level of attention to detail Self-motivated and detail oriented. Must be able to multi-task in a busy environment and adapt to changing priorities. Experience using SAP software a plus. Experience using BNSF software a plus.
