As our company continues to expand, we are seeking a motivated and detail-oriented Fleet & Safety Coordinator to support the daily administrative operations of our fleet maintenance and safety programs.
Position Overview:
The Fleet Coordinator is responsible for supporting the day-to-day operation and maintenance of the company's vehicle fleet. This position coordinates preventative maintenance, repairs, parts ordering, and vendor communication to help ensure vehicles remain safe, operational, and available for service. This role is ideal for someone who is highly organized, detail-oriented, comfortable working with vendors and drivers, and able to manage multiple maintenance needs in a fast-paced logistics environment.
Key Responsibilities:
Preventative Maintenance:
Track and follow up on preventative maintenance schedules for the entire fleet to ensure services are completed on time and vehicle downtime is minimized.
Maintenance Scheduling:
Coordinate vehicle repairs and service appointments with Ryder and other maintenance providers.
Repair Follow-Up:
Monitor vehicles that are out for service and follow up with vendors to ensure repairs are completed promptly.
Vendor Communication:
Serve as a primary point of contact for maintenance vendors and help resolve service-related issues.
Parts Sourcing & Management:
Research vendors, obtain competitive pricing, order necessary fleet parts, and track orders through delivery and installation.
Fleet Records:
Maintain accurate records of preventative maintenance, repairs, parts purchases, and vehicle service history.
Vehicle Status Tracking:
Monitor vehicle availability and communicate maintenance status or potential downtime to operations.
Driver Coordination:
Communicate with drivers regarding vehicle maintenance needs, reported defects, and scheduled service. Assist with other fleet-related operational responsibilities as needed. Qualifications High school diploma or equivalent required; associate degree preferred. Previous experience in fleet operations, transportation, logistics, automotive service, or administrative coordination preferred. Strong organizational and follow-up skills. Ability to manage multiple vehicles, appointments, vendors, and deadlines simultaneously. Strong written and verbal communication skills. Comfortable communicating with drivers, mechanics, vendors, and management. Basic computer skills and experience maintaining spreadsheets, records, or tracking systems. General knowledge of vehicle maintenance terminology is preferred. Strong attention to detail and ability to work independently.
