Full-Time | On-Site | Competitive Salary Based on Experience Zenflight is seeking an experienced, highly organized Flight Operations Coordinator to join our aviation operations team. This is an important position within our organization and is best suited for someone who is exceptionally detail-oriented, proactive, organized, and comfortable managing multiple priorities in a fast-paced environment. This is not a traditional administrative position. Our Flight Operations Coordinators are involved in the day-to-day coordination of aircraft, flight crews, clients, vendors, travel arrangements, scheduling, documentation, and other operational requirements. Priorities can change quickly, and the successful candidate must be able to stay organized and maintain accuracy when multiple things are happening simultaneously. We are looking for someone who naturally thinks: "What needs to happen next, and what am I missing?" If you are the type of person who enjoys solving problems, keeping things organized, following up until a task is complete, and making sure the details are right, this may be an excellent opportunity.
ABOUT THE POSITION
The Flight Operations Coordinator works closely with the Director of Operations, flight crews, maintenance personnel, clients, vendors, and other members of the Zenflight team. The position requires excellent communication, organization, judgment, and follow-through.
Typical responsibilities include:
Coordinating daily flight operations and schedules Assisting with domestic and international trip planning Coordinating crew travel, hotels, transportation, and other trip requirements Communicating with pilots and flight crews Coordinating with vendors and service providers Assisting with aircraft scheduling and operational logistics Tracking outstanding operational items and ensuring timely follow-up Maintaining accurate flight and operational records Reviewing information for accuracy and identifying discrepancies Assisting with charter and client-related requests Assisting with invoices, receipts, and other administrative documentation Maintaining spreadsheets and operational databases Assisting with accounts payable/accounts receivable and other office functions as needed Communicating schedule changes and operational updates Escalating issues appropriately when management involvement is required Supporting the Director of Operations and other members of the management team Performing other operational and administrative duties as required

WORK SCHEDULE
This is an on-site position supporting active flight operations. The successful candidate must be dependable, punctual, and comfortable working in an environment where operational requirements can change throughout the day. Flexibility may occasionally be required based on aircraft and client schedules.
