Job Description

POSITION SUMMARY KALLATI
is seeking an experienced Logistics Coordinator with jewelry and/or luxury industry experience to support the day-to-day logistics, inventory movement, and operational coordination of our fine jewelry business. This is a fast-paced, technology-driven operational role responsible for the physical handling, tracking, receiving, shipping, and reconciliation of high-value fine jewelry inventory. The successful candidate must be able to work with speed, accuracy, and urgency while maintaining exceptional attention to detail. Candidates must bring a combination of jewelry and/or luxury industry experience, strong technology proficiency, inventory systems experience, and solid Microsoft Excel skills. This position requires someone who can move efficiently between physical inventory handling and computer-based inventory tracking throughout the day. To be considered, candidates must have:
  • Professional experience within the jewelry and/or luxury industry, including direct exposure to physical inventory.
  • Strong Microsoft Excel proficiency and comfort working with spreadsheets.
  • Experience using inventory management, ERP, order management, shipping, or similar business systems.
  • Strong overall technology proficiency and the ability to learn new systems quickly.
  • The ability to work at a fast pace while maintaining a high level of accuracy and attention to detail.
ESSENTIAL JOB RESPONSIBILITIES
  • Prepare, pack, and ship fine jewelry for replenishments, consignment orders, special orders, trunk shows, cruise line operations, and retail partners.
  • Receive incoming fine jewelry shipments and quickly and accurately reconcile merchandise against invoices, packing lists, style numbers, images, and inventory records.
  • Process high volume of transactions and track inventory movement accurately using internal inventory systems, spreadsheets, shipping platforms, and other technology tools.
  • Create and manage domestic and international shipping labels using carrier platforms such as FedEx, DHL, UPS, and Malca Amit.
  • Coordinate shipments with couriers, port agents, sales representatives, retail partners, and internal stakeholders.
  • Monitor shipment status and proactively resolve delays, damages, customs issues, discrepancies, or missing merchandise.
  • Organize and maintain shipping, inventory, and storage areas to ensure merchandise is secure, accurately identified, and efficiently managed.
  • Assist with the packaging and shipping of marketing materials, including brand books, jewelry boxes, point-of-sale displays, packaging materials, bags, and promotional materials.
  • Provide operational support for jewelry-related projects and cross-functional initiatives as business needs evolve.
  • Cross-train with team members to provide seamless coverage during absences, peak seasons, and high-volume periods.
  • Follow all procedures related to inventory handling, shipping, customs requirements, loss prevention, and security.
  • Maintain strict confidentiality, accountability, and professionalism when handling high-value merchandise.
QUALIFICATIONS
  • Prior professional experience within the fine jewelry and/or luxury industry is required.
  • 2+ years of experience in shipping, receiving, inventory control, logistics, operations, or a related function.
  • Hands-on experience handling, receiving, shipping, organizing, tracking, or reconciling physical inventory.
  • Strong Microsoft Excel proficiency is required, including the ability to confidently navigate spreadsheets, enter and update data, maintain tracking documents, and perform inventory-related reconciliations.
  • Strong technology proficiency is required, with demonstrated experience working across inventory management systems, ERP platforms, order management systems, shipping software, or comparable business applications.
  • Ability to learn and navigate new technology, software, and proprietary inventory systems quickly.
  • Experience using online carrier platforms such as Malca Amit, FedEx, DHL, and UPS.
  • Familiarity with international shipping processes, customs documentation, and shipment tracking is preferred.
  • Proven ability to work quickly and efficiently in a high-volume environment without sacrificing accuracy.
  • Exceptional attention to detail when working with jewelry, style numbers, quantities, inventory records, shipment documentation, and data entry.
  • Ability to prioritize multiple time-sensitive responsibilities and shift between tasks as business needs change.
  • Strong organizational, communication, problem-solving, and collaboration skills.
  • High level of integrity, discretion, reliability, and accountability when working with high-value merchandise.
PHYSICAL REQUIREMENTS
  • Ability to lift, carry, and move boxes weighing up to 50 pounds safely.
  • Frequent standing, walking, bending, stooping, reaching, and handling of inventory throughout the workday.
  • Manual dexterity required for tagging, packing, inspecting, organizing, and handling fine jewelry and shipping materials.
  • Ability to push and pull carts and safely use equipment for transporting shipments.
  • Ability to maintain speed, focus, and accuracy during repetitive and detail-intensive tasks.
WORKING CONDITIONS
  • On-site role based in Great Neck, NY.
  • Fast-paced environment requiring a strong sense of urgency, adaptability, and the ability to manage changing priorities.

COMPENSATION & BENEFITS
  • Hourly pay range: $24.00
  • 28.00 per hour ($49,920
  • 58,240 annually), based on experience.
  • Paid time off: 20 days annually, including vacation, sick, holiday, and personal time, accrued after the introductory period.
