Position Overview We are looking for a highly organized, detail-oriented, and motivated Logistics Coordinator to join our Logistics Team. This is a hands-on logistics and administrative position with a significant amount of data entry, order processing, inventory management, and transportation coordination . Accuracy is critical. The successful candidate must be comfortable working with detailed information, numbers, spreadsheets, databases, and multiple priorities throughout the day. Strong Excel skills are essential for this position. The Logistics Coordinator will regularly work with spreadsheets and data and must be comfortable organizing, reviewing, and accurately entering information. The position reports directly to the Logistics Manager for day-to-day workflow, priorities, and logistics responsibilities, with a dotted-line reporting relationship to the General Manager , who oversees office personnel and overall office operations. Because Karay Metals is a small, fast-paced, and growing company, responsibilities may evolve over time. We are looking for a flexible team player who is willing to jump in and help wherever needed to keep operations running smoothly.Key Responsibilities:
Order, Inventory & Data Administration Enter and maintain accurate shipment, inventory, and order information in the company database and other internal systems. Enter all incoming shipments from our international plants into the company database. Allocate inventory to customer orders and maintain accurate records of inventory commitments. Perform regular data entry and administrative tasks related to orders, shipments, inventory, purchasing, and logistics. Review information for accuracy and completeness and follow up on discrepancies before they create downstream issues. Maintain organized records and documentation related to shipments, orders, freight, and inventory. Transportation & Last-Mile Logistics Coordinate customer deliveries with warehouse personnel, freight brokers, and internal teams to ensure accurate and on-time delivery. Manage last-mile freight booking as a service to customers , including obtaining freight options, negotiating rates, booking transportation, communicating delivery details, and resolving issues as they arise. Develop and maintain strong working relationships with U.S. freight brokers and transportation providers. Review freight charges, coordinate freight billing, and ensure appropriate documentation is maintained. Communicate with warehouse personnel to coordinate shipping schedules and ensure orders are prepared for delivery. Coordinate with the Sales Team regarding order readiness and shipping timelines. Work with brokers and other logistics partners to ensure they receive the proper documentation and paperwork. General Operations & Team Support Assist with logistics, purchasing, customer service, and administrative projects as needed. Provide general office and administrative support. Help identify and resolve day-to-day operational issues and follow tasks through to completion. Remain flexible as priorities change and assist other team members when additional support is needed. Perform other duties and responsibilities as assigned. Qualifications & Skills 3-5+ years of professional experience, including at least 1-2 years of hands-on experience in logistics, transportation, shipping, freight coordination, or a closely related operations role. Strong proficiency in Microsoft Excel is required. Candidates should be comfortable working with spreadsheets, organizing and reviewing data, and accurately entering and manipulating information. Strong computer skills and proficiency with Microsoft Office, including Outlook and Word; experience with Microsoft Access is a plus. Exceptional attention to detail and commitment to accuracy, particularly when working with orders, inventory, shipment information, and billing. Strong organizational skills and the ability to prioritize competing tasks without losing track of details. Ability to focus and work accurately in an environment where interruptions and changing priorities are common. Experience working with freight brokers, transportation providers, or shipping coordination is strongly preferred. Comfortable communicating and negotiating with outside vendors and service providers. Excellent written and verbal communication skills. Strong interpersonal skills and ability to work effectively with customers, vendors, brokers, warehouse personnel, and internal teams. Ability to manage tasks and projects from start to finish with strong follow-through. Ability to work independently while also being a flexible and collaborative team player. Strong problem-solving skills and willingness to take initiative. Dependable, professional, and able to remain productive under pressure. The Ideal Candidate The ideal candidate is someone who genuinely enjoys organization, accuracy, and keeping things moving . You are comfortable spending a meaningful part of your day working in Excel, entering and reviewing data, managing documentation, coordinating shipments, and following up on details. You understand that small errors in logistics—an incorrect quantity, shipment date, freight rate, inventory allocation, or customer instruction—can create much larger problems downstream, so you take accuracy seriously and double-check your work. At the same time, you are comfortable working in a small, growing company where priorities can change quickly. You are willing to jump in, solve problems, communicate with different people, and help with tasks that may fall outside a narrowly defined job description.
