Job Description

Job Summary The Assistant Manager of Transportation and Fleet supports the daily operations of the transportation and fleet department by helping coordinate staff, vehicles, routes, and service schedules to ensure safe, efficient, and reliable transportation services. This role assists in maintaining vehicle readiness, promoting compliance with safety and operational standards, and addressing day to day transportation needs for the individuals we serve. Duties and Responsibilities E- Connotes Essential Functions E-1 Assists in supervising the day-to-day operations of the transportation and fleet department. E-2 Assists with corrective actions for the transportation and fleet department when necessary. E-3 Maintains up to date routes. Makes changes as necessary. E-4 Coordinates with the Fleet Repair Team for scheduling of maintenance of vehicles. E-5 Assists with the interviewing, hiring, and training of transportation and fleet staff. E-6 Teaches IGHL's driver training course E-7 Reviews and approves trip availability and PTO time in the absence of Manager of Transportation E-8 Reviews and approves the biweekly payroll system and submits it to the accounting department. E-9 Takes attendance of transportation department daily. Assists with attendance tracking functions. E-10 Available to serve as driver or aide as needed. E-11 Implements a snow chain when necessary and makes every effort to report to work. E-12 Monitors two-way radio while buses are in transport. E-13 Rotating dispatching for Saturday Recreation. E-14 Assists in assigning people/staff to their routes. Coordinates in implementing route changes with drivers/programs. E-15 Submits monthly attendance sheets to Accounting department for billing purposes. E-15 Liaison between transportation, fleet and all external departments. E-16 Prepares all vehicle specification sheets for new vehicle procurement for the entire IGHL Network. E-17 Prepares all vehicle sale documentation including vehicle bids and pricing comparison against Blue Book Value. E-18 Organizes and prepares all invoices for signatures from all departments including Maintenance, Fleet and Procurement. E-19 Answers telephones, takes messages and forwards to appropriate parties as requested. E-20 General office duties such as copying/scanning, filing. E-21 Answers inquiries and general information on routine matters within established guidelines. E-22 Assists in the generation and preparation of semi-annual reports as required by the 5310 Grant Vehicle Program. E-23 Ensures that monthly invoices are received and approved. E-24 Promotes cooperation between departments. E-25 Reviews and maintains copies of reports, contracts and invoices. E-26 Makes trips, as needed, to NYS DMV and the appropriate Town Hall to process vehicle registrations and other related documents (including but not limited to handicap identification tags for vehicles). E-27 Monitors fleet software programs and data entry (fuel, GPS, vehicle data/maintenance software, etc.). E-28 Adheres to proper dress code. E-29 All other duties as assigned. Position Requirements and Qualifications
  • Valid NYS driver's license
  • 2 years minimum of a valid and clean driver's license
  • High School Diploma/GED required, Associate's degree preferred
  • Five years' experience working in transportation field
  • Must have prior experience working in the IDD field
  • Ability to supervise, good interpersonal skills
  • Experience with Microsoft Office Suite and technology
  • Obtain and Maintain, Defensive Driving, CPR and SCIP certifications
  • Able to lift at least fifty pounds at least five times per hour IGHL Core Values
