We are seeking a dependable and detail-oriented Logistics Coordinator/Accounts Receivable Clerk to support our international and domestic shipping, billing, accounts receivable, and administrative operations. This role requires strong accuracy when preparing shipping documents, completing international paperwork, maintaining financial records, and coordinating with internal teams. You'll work in an environment where priorities can shift and interruptions are part of the day, so adaptability, organization, and sound judgment are key. Key Responsibilities:
Shipping Coordination, with Emphasis on International Shipments
- Prepare and manage required international shipping documentation and paperwork for freight forwarders, including export documentation, commercial invoices, packing lists, and other shipment-related forms as needed.
- Generate Bills of Lading, packing slips, and other required documentation for outgoing domestic and international shipments.
- Understand and follow applicable international shipping requirements, regulations, procedures, and customer-specific documentation instructions.
- Obtain freight quotes and schedule outbound truck shipments
- Process shipments through FedEx and UPS portals using company software.
- Coordinate closely with Sales and Production to ensure accurate and timely shipments. Accounts Receivable
- Create and submit customer invoices (including Proforma Invoices and customer portal submissions) upon order shipment.
- Manage payment collections in a professional manner.
- Record prepayments and apply payments accurately to customer accounts.
- Maintain up to date and accurate customer records within the accounting system.
- Collaborate with Sales, Accounting, and Production teams to ensure shipment information, invoices, and billing records are accurate and complete. Administrative Support
- Assist with filing, outgoing mail, document organization, data entry, and general office support tasks.
- Support cross-training initiatives within accounting as business needs require.
- Assist with a variety of additional tasks as business needs change and perform other duties as assigned by management. Required Qualifications
- 2+ years of experience in shipping/logistics coordination, accounts receivable, billing, administrative support, or a similar role.
- Strong attention to detail and accuracy when handling shipping documentation, billing information, invoices, and customer account records.
- Ability to organize work, manage time effectively, prioritize multiple responsibilities, and meet deadlines for shipments and billing.
- Clear, professional communication skills and the ability to work independently while supporting team goals.
- Proficiency in Microsoft Excel and general Microsoft Office applications. Preferred Qualifications
- Experience preparing international shipping documentation and working with freight forwarders is strongly preferred.
- Familiarity with shipping carrier portals, such as FedEx and UPS, and ERP or accounting software.
- Associate's degree in accounting, business administration, logistics, or a related field preferred; equivalent work experience will also be considered. Key Competencies

Pay:
$23.00 - $25.00 per hour Expected hours: No less than 40.0 per week
