Job Description

Receptionist / Order Entry / Logistics Coordinator MultiTherm | On-site, Full-Time MultiTherm is looking for a Receptionist / Order Entry / Logistics Coordinator to join our office team. You'll work alongside the rest of our front office, answering phones, entering orders, coordinating shipments, and helping our accountant with day-to-day bookkeeping. About MultiTherm; MultiTherm manufactures heat transfer fluids ("hot oil") used to heat process equipment in industries such as chemical processing, plastics, food processing, die casting, asphalt and road paving, and oil & gas. We're a small company, and this position works closely with the rest of the office.
Main Responsibilities:
Phone Answer incoming calls and forward them when needed. Take customer orders over the phone. Answer customer questions. Shipping and Freight Coordinate with freight carriers. Process freight claims. Track shipments and notify customers of status. Accounting (assisting the accountant) Use QuickBooks for day-to-day accounting tasks: vendor relations, accounts receivable, accounts payable, journal entries, payroll, and balancing bank statements. Run credit checks on customers using D&B. Orders and Customer Contact Contact customers as needed and keep the ACT! database up to date and clean. Make sure customer credit applications are current. Enter orders, handle general customer inquiries, help set up new customers, prepare quotes, and generate interest in new products. Enter orders in QuickBooks, prepare shipping documents, label products for shipment once they've been pulled, and track shipments. Secondary Responsibilities Help with marketing, trade shows, industry associations, and sales activities, including developing marketing plans and coordinating trade show logistics. Assist with updating the website and social media accounts. Support other office tasks as needed. Requirements High school diploma or equivalent. Authorized to work in the United States. Some prior experience in an office, customer service, or order entry/logistics role. Comfortable on the phone and able to handle several tasks at once. Basic computer skills and willingness to learn QuickBooks and ACT! (training provided). Dependable and detail-oriented. Preferred, not required: Experience with QuickBooks or another accounting software. Experience with ACT! or another CRM database. Experience with freight/shipping coordination, accounts receivable, or accounts payable.
Pay:
$40,000.00 - $50,000.00 per year
