Job Overview The operations coordinator's responsibilities focus on supporting the day to day operations of our staff along with managing critical back-office operations. Operationally, the coordinator will be responsible for accurate communication and coordination of loads from inception to delivery. In the beginning, the main responsibilities will be the generation and submission of paperwork and invoices to appropriate parties and systems. They will organize records and assist in preparing documents for active shipments in a timely manner. Daily Responsibilities (non-comprehensive) Managing the agency's invoicing program and submitting bills in a timely manner Tracing and tracking loads for daily updates to avoid delays and surprises Creating compliant shipping paperwork and documents like bills of lading Booking and coordinating drivers on a vast array of shipments Maintaining and organizing frequent email communications Communicating with customers on freight status and load timing Supporting the team's coordination efforts and helping streamline processes Handling day-to-day operations so the sales department can focus on growth Maintaining proper certifications for dispatching specialized loads (Hazmat, TSA, etc.) Compensation and Benefits $22-24/hr OR $48,000-$52,000 paid salary based on market rates, experience, location, and education 401(k) retirement plan with 3% company match after 6 months of full-time employees Health Insurance provided after 6 months of full-time employment - up to $500/mo to premium amount paid by employer Profit Sharing Plan going into effect for 2027 and beyond Paid sick leave Flexible and generous PTO policy Paid holidays, no weekend or overtime work unless desired Required Qualifications Qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender perception or identity, national origin, age, marital status, protected veteran status, or disability status. Final Notes This is a primarily remote position and as such requires an individual who excels at prioritization, time management, and self-accountability. We are currently a small team, so cohesion is incredibly important. Training will be in person the first few months with Erin who will be your direct manager. The role would slowly transition into a remote position. There is always the possibility we will reopen a physical location in the Portland area and may transition back to in-office operations most of the time, but our crew generally enjoys the flexibility and freedom of remote work.
