This position connects InstiCo Express, our asset-based fleet, with InstiCo Logistics, our freight brokerage, to determine the most efficient and profitable way to move each shipment. The Senior Transportation Operations Coordinator will dispatch company drivers, plan freight within Hours of Service (HOS) requirements, identify loads and backhauls for InstiCo equipment, develop dependable power-only carrier capacity, and secure third-party truckload carriers when company assets are not the best transportation solution. The objective is to make disciplined transportation decisions that improve fleet utilization and shipment profitability while protecting service, safety, compliance, and equipment availability. Fleet Operations & Driver Dispatch
  • Coordinate daily dispatch of company drivers, tractors, and trailers; assign loads based on driver availability, equipment location, HOS feasibility, customer requirements, and operational priorities.
  • Plan schedules in accordance with DOT HOS regulations; monitor ELD information and coordinate pickup and delivery appointments.
  • Maintain real-time visibility into driver hours, tractor and trailer availability, equipment locations, and upcoming fleet capacity.
  • Monitor shipment progress, resolve service exceptions, communicate with drivers, and identify opportunities to reduce empty miles and driver downtime. Brokerage Integration & Freight Planning
  • Serve as the operational liaison between InstiCo Express and InstiCo Logistics, providing the brokerage team with accurate, timely visibility into fleet capacity.
  • Identify freight and backhaul opportunities suitable for company-owned equipment; evaluate rate economics, positioning, HOS, equipment availability, and service requirements.
  • Exercise day-to-day judgment in selecting company fleet, power-only, or brokerage capacity based on service requirements, equipment availability, HOS feasibility, positioning costs, and expected shipment profitability.
  • Coordinate assignments across both divisions to improve asset utilization, shipment profitability, and customer service while avoiding unnecessary empty miles or equipment repositioning. Power-Only Carrier Development
  • Build and maintain a pipeline of qualified power-only carriers in key markets to move freight in InstiCo-owned trailers when fleet capacity is insufficient or another power solution is operationally advantageous.
  • Negotiate rates and coordinate carrier dispatch, trailer assignments, equipment interchange documentation, tracking, and equipment returns.
  • Confirm carriers meet InstiCo insurance, safety, compliance, and equipment-handling requirements; monitor carrier performance and reliability.
  • Maintain visibility and accountability for InstiCo trailers assigned to third-party carriers, including trailer location, interchange documentation, condition, return timing, and escalation of overdue or damaged equipment. Freight Brokerage & Spot-Market Coverage
  • Post available loads on industry load boards, including DAT and Truckstop, and source qualified truckload carriers.
  • Cover overflow, ad hoc, and time-sensitive shipments; negotiate competitive carrier rates while protecting service and shipment profitability.
  • Verify carrier authority, insurance, and onboarding compliance; monitor tracking, pickup, delivery, documentation, and service exceptions. Operational Efficiency & Customer Service
  • Compare company fleet, power-only, and conventional brokerage options to select the transportation solution that best balances profitability, service, safety, and equipment utilization.
  • Monitor transportation costs, carrier rates, equipment utilization, revenue and cost per mile, and load-level profitability; maintain accurate TMS records.
  • Communicate proactively with customers, drivers, brokers, and carriers and recommend improvements to transportation processes and cross-division coordination. Required Qualifications
  • Demonstrated hands-on experience in both asset-based trucking operations and freight brokerage.
  • Experience dispatching employee drivers, coordinating tractor-trailer equipment, and applying DOT HOS and ELD requirements.
  • Experience sourcing, negotiating with, and coordinating third-party truckload carriers; familiarity with transportation management systems and load boards.
  • Working understanding of truckload pricing, fleet utilization, carrier economics, positioning costs, and shipment profitability.
  • Strong communication, organization, negotiation, judgment, and problem-solving skills with the ability to prioritize competing demands independently. Preferred Qualifications
  • 5+ years of transportation, trucking, freight brokerage, or logistics operations experience.
  • Experience developing power-only carrier networks and coordinating company-owned trailers used by third-party carriers.
  • Experience with transportation management systems, ELD/telematics platforms, load boards, and Microsoft Excel; familiarity with McLeod, Samsara, DAT, and Truckstop preferred.
  • Experience with dedicated transportation, regional truckload operations, drayage, and fleet utilization reporting.
Schedule & Availability Full-time position with flexibility to respond to time-sensitive transportation issues outside normal business hours when operationally necessary. Specific work schedule and any after-hours coverage expectations will be discussed during the hiring process.
