$18.00/hour starting, overtime eligible Experience required: None — we will train you About the Role SandPile Services supports hydraulic fracturing sand operations in the Permian Basin. Every week our trucking reports and vendor invoices have to be accurate, and the Logistics Administrator is the person who checks that paperwork and makes sure it's right. Most of your day is spent reviewing trucking reports and vendor invoices: confirming load weights are accurate, load costs are correct, and that every vendor is billing the right job against the right PO. When something doesn't add up — and it will — you call or email the vendor, explain the discrepancy, and stay on it until you have a corrected report or invoice in hand. This is a great fit for someone who is early in their career, catches things other people miss, and isn't shy about picking up the phone. No prior oilfield or logistics experience is required. If you're sharp, dependable, and willing to learn, we'll teach you the rest. What You'll Do Review daily and weekly trucking reports for errors, missing tickets, and inconsistencies Verify load weights against tickets and reported quantities Confirm load costs and rates match what was agreed to Audit vendor invoices to ensure the correct job and correct PO are billed Contact vendors directly to flag discrepancies and request corrections Track every open item to closure — follow up until the corrected report or invoice is received and verified Maintain clean, organized records of discrepancies, corrections, and resolutions Support the Logistics Manager and leadership with day-to-day tasks as needs come up Run occasional errands for the office and operations team Visit a job site on rare occasions to see the work firsthand Bring forward ideas for improving how we track, verify, and process this paperwork What We're Looking For Exceptional attention to detail. You notice when a number is off before anyone else does. Strong communicator. You're comfortable calling a vendor, explaining what's wrong, and asking for a fix — professionally and directly. Follow-through. An issue isn't closed because you reported it. It's closed when it's corrected and confirmed. Outgoing and personable. You'll be talking to vendors, drivers, and our team all day. Smart and quick to learn. We move fast and you'll be picking up new systems and processes constantly. Flexible and reliable. You show up, and you're willing to jump in where leadership needs help. Comfortable with technology. Familiarity with Microsoft Excel, Word, and PowerPoint. Experience with (or genuine interest in) Claude and other AI tools is a plus — we use them and we want someone who will help us use them better. Ideas welcome.
