POSITION DESCRIPTION
The Materials Coordinator supports project teams by coordinating and tracking material requirements from engineering through delivery to the project site. This role is responsible for ensuring materials are ordered, available, delivered on schedule, and properly accounted for. The Materials Coordinator works closely with engineering, project management, procurement, vendors, and field personnel to identify potential material issues early and proactively resolve them before they impact project schedules. The role also supports material optimization by reviewing available inventory across client locations and identifying opportunities to utilize existing materials before placing new orders. Responsibilities Track project material requirements from engineering through procurement, vendor fulfillment, and delivery to the project site. Review engineering material orders and associated project requirements to ensure materials are accurately identified and quantities are appropriate. Coordinate with vendors and suppliers to confirm order status, lead times, anticipated delivery dates, and potential schedule impacts. Proactively follow up with vendors and escalate delayed or at-risk materials to project and procurement teams. Maintain accurate material tracking information, including order status, expected delivery dates, quantities, and delivery locations. Coordinate material deliveries with project schedules and field personnel to ensure materials arrive when and where they are needed. Verify material deliveries at project sites and confirm that the correct materials and quantities were received. Identify material shortages, discrepancies, damaged materials, or delivery issues and coordinate resolution with the appropriate parties. Work closely with project managers, engineering, procurement, and field teams to identify material-related risks and communicate schedule impacts. Review project material requirements against existing inventory at other client locations to identify opportunities to reuse available materials and reduce unnecessary purchases. Maintain visibility of available, committed, and pending inventory to support effective material planning. Help develop and maintain processes and tracking tools that improve material visibility, accountability, and on-time delivery. Monitor long-lead and critical-path materials and provide regular updates on their status. Support project teams in developing material recovery or contingency plans when deliveries are delayed or materials become unavailable. Assist with resolving material-related issues throughout the project lifecycle. Experience Experience coordinating materials, procurement, logistics, construction projects, utility projects, or a similar project-based environment. Strong organizational and follow-up skills with the ability to manage multiple projects, material orders, vendors, and deadlines simultaneously. Ability to read and understand engineering orders, bills of material, material lists, purchase orders, and project schedules. Experience communicating with vendors and suppliers and the confidence to proactively follow up and push for commitments when schedules are at risk. Strong attention to detail and ability to identify discrepancies between ordered, shipped, and delivered materials. Proficiency with Microsoft Excel and other common project tracking tools. Ability to analyze inventory and material requirements and identify opportunities to utilize existing materials before placing new orders. Strong written and verbal communication skills with the ability to work effectively with engineering, procurement, project management, vendors, and field personnel. Ability to identify potential schedule impacts and escalate issues before they become project problems. Experience in utility, construction, engineering, or infrastructure projects is preferred. Pay:
$26.00 - $32.00 per hour Expected hours: 40.0 per week
