Part-time Office Assistant & Logistics Coordinator Position Type:
Part-time, three days per week
Schedule:
The employee may distribute the three workdays throughout the week as they see fit, based on workload and shipment needs. This could be Monday, Wednesday, Friday or Tuesday, Wednesday and Thursday
  • otherwise 5 hours a day every day.
Whichever suits your schedule. This could develop into a full time role within 2 years of starting. The weekly schedule should be communicated in advance, and the employee must ensure that time-sensitive responsibilities are completed by their deadlines.

Management Position Summary The Office Assistant & Logistics Coordinator supports daily office administration, coordinates inbound and outbound freight, and helps maintain a clean, organized, and properly stocked workplace. This position requires strong organization, clear communication, attention to detail, and the ability to manage changing priorities independently. A. Office Assistant Responsibilities Process customer orders accurately and promptly. Review order details, pricing, shipping information, and requested delivery dates for completeness. Answer and direct incoming telephone calls and emails. Assist customers, vendors, carriers, and employees with general questions. Enter and update information in company spreadsheets, order forms, and internal systems. Prepare, organize, scan, and file office records and supporting documentation called 'daily's'. Assist with customer correspondence, invoices, bills of lading, and other paperwork. Maintain organized electronic and physical filing systems. Help reconcile bags, labels, tags, and other production or shipping documentation. Monitor outstanding administrative items and follow up to prevent tasks from being overlooked. Provide general administrative support to management and other departments as needed. Maintain confidentiality when handling customer, employee, financial, and company information. Create monthly production reports for management B. Logistics Coordinator Responsibilities Coordinate inbound and outbound shipments with carriers, customers, production staff, and company drivers. Obtain and compare freight quotes based on price, service, delivery time, and carrier reliability. Schedule carriers and confirm pickup and delivery appointments. Confirm scheduled shipments with carriers and customers. Prepare and review bills of lading, shipping documents, labels, and related paperwork for accuracy. Provide customers with shipment updates, tracking information, and estimated delivery times. Communicate schedule changes, delays, shortages, or other transportation issues promptly. Review the production and shipping schedule to identify changes that may affect freight arrangements. Coordinate directly with the company driver regarding routes, pickup times, delivery requirements, and schedule changes. Compare quoted freight costs with final carrier invoices and investigate discrepancies. Request corrections or reduced charges when a carrier invoice exceeds the approved quote. Track freight profitability and notify management when transportation costs may negatively affect an order's margin. Maintain organized carrier records, freight quotes, confirmations, and shipment documentation. Monitor carrier performance, including pricing accuracy, communication, timeliness, and service issues. Assist with developing efficient routes and consolidating shipments when practical. Help identify ways to reduce freight costs and improve delivery reliability. C. Office Supplies, Organization, and General Upkeep Monitor office, breakroom, restroom, shipping, and cleaning supplies. Order approved supplies before inventory runs out. Receive, organize, and properly store office and facility supplies. Keep the office, shared workspaces, breakroom, and supply areas clean and orderly. Restock coffee, paper products, soap, and other routinely used items. Make coffee and help maintain a welcoming office environment. Empty office and breakroom trash and recycling as needed. Load or unload the dishwasher and keep kitchen surfaces clean. Notify management of maintenance, cleanliness, or supply concerns. Help prepare meeting spaces and refreshments when customers, vendors, or other visitors are expected. Perform other reasonable office support and organizational duties as assigned. Qualifications and Skills Strong organizational and time-management skills. Careful attention to detail and accuracy. Professional written and verbal communication. Ability to prioritize responsibilities and work independently. Comfortable using email, spreadsheets, office software, and business systems. Ability to communicate effectively with customers, carriers, vendors, drivers, and coworkers. Willingness to assist with both administrative work and routine office upkeep. Previous office administration, customer service, shipping, or logistics experience is preferred.
