VMI / 3PL
Processing Specialist to oversee and optimize our daily third-party logistics and vendor-managed inventory operations. In this role, you will serve as the primary operational link between external warehouse partners and our internal finance and supply chain teams. You will manage end-to-end inbound and outbound workflows, drive dispute and claims resolutions, handle intercompany inventory movements, and maintain strict inventory accuracy across all hub locations.
Key Responsibilities Third-Party Logistics Management:
Monitor daily operations across multiple third-party logistics (3PL) and vendor-managed inventory (VMI) partner portals to ensure smooth operational flow and adherence to service level agreements (SLAs). Order Execution (Inbound & Outbound): Direct and process all inbound shipments, customer fulfillments, transfers, and outbound orders across various external warehouse management systems (WMS).
Claims & Discrepancy Resolution:
Lead investigations and file formal claims through 3PL portals for damaged goods, shortages, overages, mis-ships, and transit errors; partner with carrier and warehouse teams to ensure timely credit recovery.
Inventory Reconciliation:
Conduct weekly inventory reconciliations between internal ERP records and 3PL hub inventory reports, partnering closely with the Accounting department to resolve discrepancies.
Intercompany Transactions:
Execute system transactions, inventory transfers, and billing reconciliations related to stock movements between company entities, hubs, and consignment locations.
Continuous Improvement:
Assist the logistics and operations teams with ad-hoc projects, system integrations, and audit support as business needs evolve.
Qualifications Experience:
1-2 years of hands-on experience in supply chain, logistics operations, or inventory management, specifically working with 3PL providers and VMI models.
Systems Proficiency:
Direct experience navigating third-party logistics portals/WMS and enterprise ERP platforms (e.g., SAP, NetSuite, Microsoft Dynamics). Advanced proficiency in Microsoft Excel (VLOOKUP, XLOOKUP, Pivot Tables) is required for inventory reconciliation.
Problem-Solving Skills:
Proven track record of managing and resolving freight claims, shipping variances, and physical-to-book inventory discrepancies.
Financial Acumen:
Foundational understanding of inventory accounting, cost of goods, and intercompany transactional workflows.
Communication:
Strong cross-functional communication skills with the ability to hold external logistics vendors accountable while collaborating smoothly with internal accounting and supply chain stakeholders.
