Outbound Specialist Req #10132 Grand Rapids - H5, 3225 32nd Street, Kentwood, Michigan, United States of America Apply Share Job Description Posted Tuesday, August 4, 2026 at 1:00 AM Outbound Specialist SUMMARY The Outbound Specialist manages daily outbound shipping operations by creating shipment orders in the MRP system, generating Bills of Lading, and overseeing all domestic and international shipment documentation. The role ensures timely FG shipment performance through daily inventory monitoring, KPI tracking, and coordination with production schedules. It involves scheduling outbound appointments with carriers, resolving invoice discrepancies, troubleshooting shipping issues, and providing shipment status updates. Strong communication with Supply Chain, Warehouse, Carriers, and Customers ensures accurate scheduling, order accuracy, and on ‑ time delivery. The specialist also maintains customer portals and supports consistent operational performance through reporting and proactive problem ‑ solving. Create shipment orders using the MRP system and generate Bills of Lading. Oversee all documentation for domestic and international shipments, including load tenders, compliance files, and export paperwork when required. Participate in daily scheduling meetings to ensure shipment orders do not impact production plans and to support full customer order attainment. Monitor daily finished goods (FG) levels and track FG statuses to ensure timely sales and shipping performance. Maintain shipping targets by ensuring FG ships within 3-7 days of production and resolve any inventory exceeding 8 days. Support the resolution of FG invoices and cost discrepancies by coordinating with Accounting and Supply Chain Services. Coordinate with freight companies and dispatch teams to schedule outbound appointments based on location capacity and shipping hours. Manage all domestic and international outbound shipping activities, including transportation planning, consolidation, carrier tendering, document execution, customer support, and shipment follow ‑ up. Identify shipping issues, perform root ‑ cause analysis, and implement corrective actions to prevent delays or service failures. Communicate proactively with Supply Chain, Warehouse Operations, Carriers, Customers to align shipping schedules, transportation requirements, and order priorities. Provide tracking and status updates for both inbound and outbound shipments as needed. Deliver regular KPI reporting, highlight operational risks, and collaborate with internal teams to maintain healthy inventory flow and high customer service levels. Maintain customer portals by entering shipment orders to ensure accuracy and timely updates.
