You'll sit at the center of sales, warehouse, and EDI making sure inventory is allocated correctly, holds and back orders get resolved fast, and accounts get what they were promised. Order management Review incoming orders (EDI and manual) for accuracy. Investigate and clear order holds, credit holds, pricing discrepancies, item setup gaps, missing PO data. Track backorders and communicate revised ship dates to sales and accounts before the customer must ask Confirm orders and route acknowledgments back through EDI Allocation Allocate available inventory across competing orders based on account priority, ship window, and margin Make the call when demand exceeds supply, decide who gets cut and by how much. Rebalance allocations as inbound receipts land or forecasts shift Flag chronic shortages and slow-moving overstock to purchasing and sales Account and item setup Onboard new customer accounts: ship-to locations, routing requirements, EDI trading partner setup Maintain customer-specific requirements — labeling, packaging, routing guides, compliance rules — and keep the team from incurring chargebacks Cross-functional coordination Serve as the connection point between sales, the EDI coordinator, warehouse, and logistics Provide the warehouse with clean, prioritized pick and ship instructions Work with sales to update forecasts and reconcile them against actual order flow Escalate anything at risk of missing a ship window, early Reporting Maintain open order, availability, and back-order reports for the sales team Track fill rate and on-time shipping performance by account Pull ad hoc analysis on order trends, inventory position, and account performance What you bring Technical Strong Excel — pivot tables, VLOOKUP/XLOOKUP, filtering and reconciling large order files. This is used daily. Experience in an ERP or order management system (NetSuite, SAP, Sage or similar) Working knowledge of EDI documents — 850, 855, 856, 810 — and what it means when one fails Analytical — able to look at an order report and spot the thing that's off Decisive under constraint: when there isn't enough inventory, you make a reasoned call rather than escalating everything Organized enough to track dozens of open orders across multiple accounts without dropping one Proactive communicator who surfaces problems early instead of reporting them after the fact
