Paid, Part-Time Contractor (Year-Round) Position Summary The Administrative Director of the White Bear Lake Volleyball Club serves as the administrative and operational leader of the organization. This individual is responsible for overseeing day-to-day activities, ensuring the club operates in alignment with the mission and bylaws as voted upon by the Board, and fostering a positive, competitive, and development-focused volleyball environment for athletes, coaches, and families. This is a hands-on leadership role requiring strong organizational, communication, and decision-making skills, along with an understanding of volleyball.
Key Responsibilities:
Club Operations Oversee and manage daily operations of the club. Partner with Coaching Director on recruitment and hiring of Coaching Staff, completion of Coach Onboarding Requirements (Background Checks, Training and Contracting), along with their overall performance management. Support Coaching Director with conflict resolutions between players, coaches, and families, along with communicating/supporting any disciplinary measures as necessary. Provide input into the strategic leadership of the organization to ensure program growth and sustainability Ensure compliance with club bylaws, policies, and procedures Partner with the Treasurer to ensure expenses are all approved and managed prudently to support the achievement of the Board's financial goals. Ensure a positive and competitive experience for all participants Conflict Resolution & Communication Serve as the primary point of contact for parent and player concerns, including timely response to email and text messages. Address and resolve conflicts in a timely, professional, and fair manner Draft and execute Club-wide communications informing players, coaches and families about events, important information, registrations, etc… Maintain consistent communication with coaches, teams, and families Board Responsibilities Attend monthly Board Meetings and contribute to Agenda Items to keep Board informed of current state of the club, challenges that may have risen, suggestions for improvements, etc… Collaborate with Board members to support key initiatives and responsibilities While this position is a non-voting member of the Board, it plays a critical role in providing leadership to the organization. Tournament & Event Management Oversee planning and execution of the annual Bear Blast tournament, along with serving as onsite Tournament Director. Coordinate Bear Blast logistics in partnership with Board, including DIBs for volunteer shifts, apparel vendor, communication with coaches, scheduling, etc… Partner with the Treasurer to secure a hotel for annual All Club out-of-town tournament. Additional Duties Uphold and promote the values and reputation of the club within the community Take on additional responsibilities as needed to ensure overall club success Qualifications Strong knowledge of volleyball (playing, coaching, or administrative experience) Excellent communication, organization, and problem-solving skills Ability to manage multiple priorities and make sound decisions under pressure Experience working with youth sports organizations or nonprofits is a plus Compensation Compensation for this position is $6,000/year, paid in $500 monthly installments. Time Commitment Year-round responsibilities with seasonal peaks during club season and tournament periods Availability for evenings and occasional weekends required Ideal Candidate The ideal candidate is a passionate volleyball leader who is organized, approachable, and proactive—someone who can balance big-picture strategy with day-to-day execution while building a strong, positive culture within the club.
