$30/hour Organization Overview HGPS is a welcoming professional membership organization that brings people together through continuing education, professional events, and community-building opportunities. Position Summary The Houston Group Psychotherapy Society is seeking a highly organized, dependable and personable part-time administrator to support the organization's ongoing operations. The Administrator serves as a central point of contact for members, board members, presenters, vendors, and community partners. The position includes membership support, bookkeeping, event coordination, continuing education administration, fundraising support, and general office responsibilities. The successful candidate does not need to be an expert in every area. We are looking for someone with strong administrative skills who is comfortable learning new systems, asking questions, working independently, and collaborating with a supportive Board. Essential Responsibilities Finance and Legal Administration Manage bookkeeping in QuickBooks, including monthly account reconciliations and financial reporting for the Board. Handle annual IRS filings, including Form 990-N and 1099s, and maintain documentation related to HGPS's tax-exempt status. Membership Management Maintain the MembershipWorks database and ensure member information is accurate and current. Process membership renewals/applications and manage member communications, customer service, and refund requests. Development Maintain accurate donor records. Process donations and issue acknowledgments and receipts. Track and report on sponsorships and Annual Fund progress. Programs and Events Track registration and attendance. Coordinate vendor contracts and process related payments. Continuing Education Help ensure that programs meet applicable continuing education requirements. Track and verify attendance for continuing education credit. Manage program evaluations and distribute continuing education certificates. Maintain continuing education records in accordance with retention requirements. Board and Governance Support Prepare agendas and meeting materials and take minutes as needed. Maintain governance records, including bylaws, policies, and resolutions. Provide administrative support to the President and Board. Administration and Systems Manage the general inbox, phone line, mailing lists, and post office box. Administer the organization's core platforms, including MembershipWorks, Mailchimp, QuickBooks, Google Workspace, WordPress, and Stripe. Required Qualifications 3+ years relevant experience in administration, office coordination, bookkeeping, membership services, or a related area. Experience with bookkeeping and QuickBooks, with the confidence to manage routine organizational finances. Experience with membership or CRM databases; familiarity with MembershipWorks is a plus. Excellent organizational skills, attention to detail, and consistent follow-through. Ability to work independently while keeping Board leadership informed. Sound judgment and maintenance of confidentiality when handling private financial, membership, donor, and organizational information. Familiarity with nonprofit compliance requirements, including Form 990 filings and tax-exempt status documentation, is a plus. Event planning or coordination experience is a plus. Candidates are encouraged to apply even if they do not meet every preferred qualification. Relevant experience may come from professional, volunteer, or community-based work. Schedule and Work Environment This is a flexible, part-time position averaging approximately 20 hours per month. Most responsibilities may be completed remotely. Occasional attendance at meetings and events in the Houston area will be required. Some programs may take place during evenings or weekends, with advance notice. HGPS will provide access to existing systems, records, and guidance from Board members to support a smooth transition.
