Our Warehousing team is seeking a Warehouse Operations Analyst to ensure accurate, controlled, and timely processing of logistics-related vendor invoices while providing financial, analytical, quality, inventory, and operational support across our North American warehouse network.
Approximately 50-60% of this role focuses on invoice processing, financial controls, and cost validation. The remaining responsibilities support warehouse operations through performance reporting, quality analytics, inventory governance, recurring business processes, and continuous improvement initiatives. Working closely with the Sr. Supervisor, Warehousing Operations & Performance and the Warehouse Operations & Inventory Specialists, this position serves as a cross-functional resource who will help strengthen warehouse performance across the North American network.
This position is based at our Tucson, AZ office. We work a hybrid schedule with an in-office requirement Monday-Wednesday and the option to work remotely on Thursday and Friday.
Job DescriptionInvoice Processing, Validation & ControlsProcess logistics and warehousing invoices in alignment with contractual rates, rate cards, and defined tolerance thresholdsValidate vendor charges against contracts, accessorial schedules, and supporting documentation, identifying, investigating, and resolving billing discrepancies such as overcharges, duplicate billing, and incorrect rate applications.
Exercise judgment in approving, rejecting, or escalating invoices based on contractual compliance and financial impactMaintain and update rate sheets, contracts, and billing reference data to support accurate invoice validationException Management & Vendor CoordinationServe as the primary point of contact for vendor invoice inquiries and exceptions, proactively resolving disputes and following up on missing, incomplete, or inaccurate invoices to ensure timely, accurate billing and clear documentation of outcomes.
Partner with Logistics and Finance teams to resolve complex billing issues and improve invoice accuracyMonth-End Close & AccrualsPrepare and submit accruals for logistics expenses not yet invoiced, ensuring alignment with actual activity and expected costsPartner with vendors and internal stakeholders to improve the accuracy and reliability of accrual estimatesSupport month-end and quarter-end close processes, including reconciliation of logistics expenses and variance analysisWarehouse Quality & Inventory GovernanceOwn the reporting and reconciliation of all Quality Hold inventory, ensuring internal inventory records remain synchronized with warehouse management system (WMS) reportsCompile and report warehouse quality exceptions, hold inventory, and product disposition activity, including pest activity, frozen product, odors, damaged product, and other discrepanciesMaintain centralized dashboards and recurring reports to identify trends, root causes, and opportunities for corrective action while providing visibility to Operations, Quality, and leadership teams.
Coordinate, monitor, and document the disposition of non-sellable inventory, including destruction, recycling, donation, or other approved methods, while maintaining complete records of approvals, Certificates of Destruction/Recycling, supporting documentation, associated costs, and transaction closure.
Work with Quality, Warehousing, Finance, and third-party warehouse partners to ensure timely execution and documentation of product disposal activities.
Coordinate and document warehouse inspections for RMAs, seal exceptions, and other inbound quality issues, including disposition decisions and release recordsOperational Analytics & Continuous ImprovementDevelop and maintain KPI reports, dashboards, and operational metrics supporting warehouse performance, financial visibility, inventory accuracy, quality performance, and operational decision-making.
Develop and implement reporting enhancements and automation that reduce manual work, improve data visibility, and strengthen warehouse reporting processes.
Assist with inventory reconciliations, operational data validation, and system accuracy to support warehouse inventory integrity.
Provide analytical and administrative support for warehouse operations, inventory controls, cost management, audits, and special projects.
Maintain documentation, SOPs, and reporting tools to improve consistency and operational execution.
Cross-train across warehouse operations, inventory governance, financial controls, and quality processes to provide operational support as business needs evolve.
QualificationsBachelor's degree in Business, Supply Chain, Finance, or related field (or equivalent experience)2-5 years of experience in logistics operations, supply chain, warehouse operations, finance, accounting, business analytics, or a related analytical role.
Strong analytical skills with the ability to identify trends, reconcile large data sets, investigate discrepancies, and translate findings into actionable recommendations.
Strong attention to detail with ability to identify discrepancies and resolve issues independentlyAdvanced proficiency in Microsoft Excel, including PivotTables, XLOOKUP, data reconciliation, and large dataset analysis; experience with Power BI or similar reporting tools preferred.
Experience with ERP, transportation management, and invoice processing systems preferred (e.g., Oracle, Inspyrus, OTM).Effective communication and cross-functional collaboration skillsAbility to manage multiple priorities in a fast-paced environmentInterest in developing broad knowledge of warehouse operations, inventory governance, quality processes, and logistics.
Experience supporting warehouse operations, inventory governance, quality reporting, or product disposition processes is preferred.
