This position plays a vital role in daily operational activities by ensuring smooth operations across multiple locations, streamlining processes, supporting senior leadership to achieve organizational goals, maintaining an efficient and welcoming office environment, and providing exceptional support to clients and team members. Key Responsibilities Operations Provide Administrative and operational support to the Regional Director of Operations Assist with implementing operational processes, procedures, and system improvements. Support management with cross-departmental projects and initiatives ensuring timely execution and adherence to company standards. Support & collaborate on initiatives supporting office openings, closures, and relocations Develop and maintain detailed workflows and standard operating procedures to streamline operations. Support employees with access requests, system updates, and troubleshooting. Coordinate onboarding and offboarding of employees, including document preparation and scheduling training. Cultivate and enhance vendor relationships across all agencies. Assist with the planning and coordinating corporate events, meetings, and training sessions. Maintain accurate records related to operations, agency contracts, and employee onboarding/offboarding. Support employee benefits coordination, internal communications, and address staff inquiries. Distribute announcements, updates, and internal communications. Maintain confidentiality regarding all personnel and business information. Assist with problem resolution and collaborate efficiently with all team members to ensure seamless operations. Act as a resource to employees by addressing questions or routing issues as appropriate. Prepare documents, correspondence, and administrative materials. Stay informed on products, services, policies, or procedural updates. Office Administration Maintain an orderly, professional, and well-presented office environment. Welcome all guests, clients and team members providing a white-glove experience. Track all incoming and outgoing correspondence. Monitor inventory and order office supplies, beverages, equipment, and materials. Serve as the primary on-site contact for vendors, building management, deliveries, and maintenance. Provide administrative support to team members and assist with office equipment and vendor coordination. Coordinate workspace setup for new hires and ensure proper access and equipment provisioning. The above includes the most significant duties performed. However, other work assignments not mentioned are assumed to be included. Management may in its sole discretion assign and/or reassign duties and responsibilities at any time. Qualifications 3+ years of administrative or operations support experience; financial services experience preferred. Excellent organizational abilities and excpetional attention to detail. Ability to manage multiple priorities in a fast paced environment. Excellent communication and interpersonal skills. Confident multitasker with proactive, solution-oriented mindset. Excellent team player with the ability to work well with others. Ability to work independently and collaboratively in a fast paced environment. Proficiency in Microsoft Office 365 Suite, Adobe, and general office technologies. Associate's or Bachelor's degree preferred. Ability to maintain confidentiality and exercise discretion at all times. Must pass background check and fingerprint requirements. Must be eligible to work in the United States.
