In person Let's Get to the Center of the Tootsie Pop, Shall We? We're looking for a unicorn. Yes, we know everyone says that—but we really mean it. VAULT Salon needs someone who can warmly welcome a guest, confidently solve a scheduling puzzle, notice that a promotion needs refreshing, follow up on an unfinished project, and help leadership bring a little order to the beautiful chaos—all without needing someone to point out every next step. This is not your average front-desk position. The role begins with creating an exceptional guest experience, but it has the potential to grow into so much more. VAULT currently has two thriving salon locations, and as we continue to grow, we need someone who can help us strengthen our systems, support our team, and prepare the company for what may come next. What You'll DoCreate an Exceptional Guest Experience Welcome every guest warmly and make sure no one is ever left wondering whether we noticed them. Answer calls, texts, emails, appointment requests, and questions with professionalism and personality. Schedule and reschedule appointments while finding solutions that work for both our guests and stylists. Help match guests with the right stylist, service, and price point. Handle guest concerns with empathy, confidence, and good judgment. Keep the front desk polished, organized, and running smoothly. Support Daily Salon Operations Help manage the daily flow of the salon and anticipate what may need attention. Communicate scheduling updates, guest needs, and operational information to the team. Support stylists in following established systems, procedures, and expectations. Keep track of follow-ups, deadlines, unfinished tasks, and all those little details that can easily become big details. Recognize when you can solve something independently and when leadership needs to be involved. Occasionally support both VAULT locations, with one location serving as your primary workplace. Help Us Build Better Systems Work alongside Rosie, VAULT's owner, and Kaylee, our manager, to organize and improve salon procedures. Help document repeatable systems for the front desk and daily operations. Notice inconsistencies, identify gaps, and suggest practical solutions. Help create tools, checklists, scripts, and processes that can eventually be taught to additional front-desk employees. Support the future training and onboarding of new front-desk team members. Help us create consistency between our two locations as VAULT continues to grow. Bring Promotions and Projects to Life Refresh retail displays and front-desk promotions. Help create and display flyers and promotional materials. Support salon campaigns, events, team projects, and community initiatives. Monitor incoming emails and recognize what needs attention or follow-up. Move projects forward during quieter front-desk moments instead of waiting to be told what to do next. Who We're Looking For You may be our unicorn if: You are extremely organized and genuinely enjoy creating order. You are a self-starter who can move a project forward with guidance without needing direction for every small step. You don't just notice a problem—your brain immediately starts building a solution. You can confidently prioritize when five things need attention at once. You take ownership and follow through without repeated reminders. You communicate warmly, clearly, and professionally. You can shift from comforting a worried guest to organizing a spreadsheet without losing the plot. You are comfortable giving and receiving respectful, direct communication. You enjoy working with a team and can lovingly herd cats—and by cats, we occasionally mean hairstylists. You are comfortable learning new technology, software, and systems. You understand that "I thought someone else was handling it" are six very dangerous words. You want more than a job—you want an opportunity to contribute, develop, and grow with a company. Previous salon experience is helpful, but it is not required. Experience in hospitality, administration, operations, customer service, retail, sales, or team coordination may also translate beautifully into this position. We care about experience, but we care just as much about judgment, initiative, emotional intelligence, and follow-through. What This Position Is—and Isn't This is an active, in-person position. It is not a role where you will sit at the front desk and wait for the phone to ring, and it is not a remote or hybrid position. We will provide training, priorities, support, and clear expectations. However, we are looking for someone who will eventually be able to recognize what needs attention, take thoughtful initiative, and carry projects through to completion. You will not be expected to fix everything on day one. The role will grow in phases as you learnVAULT:
Learn the VAULT guest experience, scheduling systems, team, and daily salon flow. Help create greater consistency, organization, and follow-through across both salons. Grow into additional operational and leadership responsibilities as the company and front-desk team expand. For the right person, this position could develop into an Assistant Salon Manager or multi-location operations role over time. Growth is possible, but it will be based on performance, ownership, leadership ability, and the evolving needs of the company.
