Soledad Memorial Association is looking for a dependable and personable Administrative & Operations Coordinator to join our small team. This position combines office administration, customer and donor service, database management, event support, and general organizational coordination. It is a good fit for someone who enjoys wearing multiple hats, takes pride in keeping things organized, and likes interacting with people. Our organization is dedicated to honoring veterans and preserving their stories at the Mt. Soledad National Veterans Memorial. The person in this role will have a direct hand in supporting that mission every day. What You'll Be Doing Working closely with the Director of Operations, you will help manage the administrative activities that keep the Association organized and responsive.
Your work will include:
Responding to phone calls, emails, visitors, donors, members, and general inquiries Processing veteran memorial plaque requests and maintaining related records Updating membership, donor, and organizational databases Preparing letters, correspondence, acknowledgments, and other communications Maintaining electronic and paper filing systems Assisting with membership renewals and donor services Organizing materials and documents for Board meetings Helping coordinate volunteers and recognition activities Supporting Memorial Day, Veterans Day, and other Association events Providing general administrative support to the Director of Operations Taking ownership of special projects and day-to-day office needs as they arise What We're Looking For The successful candidate will be someone who is comfortable working in a small office where priorities can change throughout the day.
You should bring:
Strong organizational skills and attention to detail A friendly, professional approach to customer and donor service Clear written and verbal communication skills Confidence using Microsoft Office and learning database or CRM systems The ability to manage several responsibilities without losing track of details Good judgment and the ability to work independently A reliable, team-oriented approach A willingness to jump in and help wherever needed Experience We prefer candidates with at least two years of administrative, office, business support, or customer service experience . Experience with a nonprofit organization, membership association, professional office, hospitality organization, or other service-oriented environment is helpful but not required. An associate degree in business or a related field is a plus.
