About the Role We are a small Broomfield law firm looking for a Client Services Coordinator to take ownership of the experience people have from their first contact with our office through becoming and working with us as clients. This is not primarily a receptionist or traditional legal-assistant position. Prior law-firm experience is not required. We are looking for someone who is exceptionally good with people, persistent about follow-up, organized, comfortable with technology, and inclined to take ownership rather than wait to be told what to do. There is also a meaningful consultative sales component to the position. That does not mean high-pressure selling. It means listening carefully, understanding what someone needs, explaining the next step clearly, helping people overcome ordinary hesitation, asking them to take the next step, and following up when appropriate. A person coming from real estate, customer success, account management, recruiting, admissions, professional services, self-employment, or another client-facing role could be an excellent fit. What You Will Do You will become one of the primary points of contact for prospective and existing clients and will help keep the firm's client-facing processes moving.
Responsibilities will include:
Responding to prospective clients by phone and email. Talking with people about their needs and helping them reach the appropriate next step. Scheduling consultations and helping prospective clients prepare for them. Following up with prospective clients after consultations. Maintaining accurate information, notes, tasks, and status in our CRM. Following up on incomplete questionnaires, missing information, appointments, and other open items. Helping clients navigate established firm processes and technology. Processing and coordinating payments within established procedures. Monitoring shared email and voicemail and making sure communications reach the appropriate person. Keeping track of commitments and following through until there is a clear resolution. Recognizing when an issue requires attorney judgment and escalating it appropriately. Learning and working with systems including Lawmatics, Gmail, Google Drive, client portals, internal firm software, and AI-assisted tools. Looking for ways to improve the client experience and make our processes work better. The responsibilities will evolve as you learn the firm and demonstrate the ability to take ownership of additional areas. You can build rapport with strangers quickly and communicate effectively with people who may be stressed, uncertain, frustrated, embarrassed, or overwhelmed. You have some sales instinct. You are comfortable asking questions, helping someone make a decision, asking for a commitment or next step, and following up. You do not need to be an experienced salesperson. You follow through. Sending an email is not necessarily the same thing as completing a task. You keep track of unfinished matters and appropriately follow up until they are resolved. You are organized. You can manage many simultaneous conversations, appointments, deadlines, and open items without relying on someone else to remind you. You are comfortable with technology. You do not need to know our systems when you arrive, but you should be comfortable learning new software and interested in using technology to work more effectively. You solve problems. When something goes wrong, your first reaction is generally to understand the problem and think about possible solutions rather than simply pass it to someone else. You are coachable. You can receive direct feedback, adjust quickly, and continue improving without taking normal workplace coaching personally. Backgrounds That May Translate Well There is no required career path for this position. We would particularly like to hear from candidates with experience in areas such as: Real estate or brokerage Customer success Account management Recruiting Admissions or enrollment Professional-services intake Client relations Small-business ownership Freelancing or virtual-assistant work Other service-oriented roles involving clients, sales, scheduling, and follow-up If you have operated your own business or worked on commission and discovered that you enjoy clients, problem-solving, relationship building, and making a business work—but would prefer the stability of an established organization over continually finding your own customers —this position may be particularly worth considering. What This Role Is Not This is probably not a good fit if you: Prefer to receive a defined list of tasks and simply work through it. Strongly dislike telephone conversations or follow-up. Are uncomfortable asking someone to take the next step. Need frequent supervision to determine priorities. Dislike learning new software. Are looking for a temporary position rather than an opportunity to grow into greater responsibility over time. Growth We are intentionally looking for someone with more capability than the immediate administrative tasks require. As you learn the firm and demonstrate good judgment, there is room to take greater ownership of client-service systems, intake and follow-up processes, reporting, process improvement, training, and broader office operations. We want someone who is interested in helping build a better business, not simply completing today's assigned tasks.
Qualifications Required:
Strong verbal and written communication skills. Demonstrated reliability and follow-through. Comfort speaking with clients and prospective clients by telephone. Ability to organize and manage multiple ongoing matters. Comfort learning and using modern software. Ability to work primarily in our Broomfield office. Professional judgment and discretion.
Preferred but not required:
Experience involving sales, lead follow-up, client success, account management, recruiting, real estate, or business ownership. Experience working with a CRM or other workflow-management system. Experience in a small business or professional-services environment.
