Job Description
Operations Manager (OM) The Operations Manager is responsible for overseeing the day-to-day administrative and operational functions of assigned clinic locations. This role ensures the efficient and compliant operation of the clinic while supporting clinical teams in delivering high-quality Applied Behavior Analysis (ABA) services. Key Responsibilities Operations & Administration Oversee daily clinic operations, including scheduling, client onboarding, and administrative workflows Ensure operational readiness and efficiency across all assigned locations Maintain accurate records, documentation, and reporting in accordance with company policies and regulatory requirements Support implementation and adherence to company policies, procedures, and operational standards Staff Support & Supervision Provide support, guidance, and oversight to staff and collaborate with clinical leadership Partner with leadership and support teams to ensure business and clinical needs are aligned, including support for recruitment and onboarding of clinical staff Monitor staff performance and support a positive, professional work environment Ensure adequate staffing levels to meet operational needs Clinical Support Partner with clinical leadership to support adherence to clinical standards and ensure a safe, organized environment for service delivery Assist in maintaining compliance with all applicable healthcare regulations and internal clinical protocols Support coordination between clinical teams and administrative operations Financial & Business Operations Monitor key performance indicators (KPIs) related to clinic performance, including census, scheduling efficiency, and operational productivity Support financial oversight functions such as billing coordination, expense tracking, and resource allocation Identify operational improvements to enhance efficiency and support business objectives Community & Client Relations Support relationships with clients, families, and external partners Address operational concerns and escalate issues as appropriate Assist in maintaining a positive and professional presence within the community Compliance & Safety Ensure compliance with all company policies, state regulations, and healthcare standards Maintain a safe working environment for staff and clients, including adherence to workplace safety protocols Report incidents and support appropriate follow-up as required Work Environment & Physical Requirements Primarily office and clinic-based environment May require standing, walking, and moving throughout the clinic for extended periods Occasional lifting of office supplies or materials up to approximately 20 pounds Frequent use of computers, phones, and office equipment Regular interaction with staff, clients, and families Summary The Operations Manager plays a critical role in ensuring clinic operations run efficiently through hands-on administrative and operational support, while partnering with clinical leadership to meet both business and clinical needs. This position requires strong organizational skills, communication, and the ability to manage multiple priorities in a fast-paced healthcare environment.
