Job Description The Hospitality Specialist at Opensity Solutions is responsible for delivering high-touch concierge-style hospitality services within a professional office environment. This role supports daily operations, meetings, events, and guest services by ensuring exceptional presentation, responsiveness, and attention to detail. The Hospitality Specialist collaborates with internal teams and reports to designated site leadership while maintaining a polished and service-oriented workplace experience. This position is classified as non-exempt.
ROLES & RESPONSIBILITIES
Deliver an elevated guest experience by greeting visitors, responding to requests promptly, and maintaining a professional and welcoming environment. Prepare and set up meeting rooms according to event specifications, including furniture arrangements, audiovisual equipment, and catering support. Coordinate and provide food and beverage services for meetings, including breakfasts, lunches, refreshments, and catered events. Conduct regular inspections of conference rooms, office spaces, pantry areas, and kitchens to ensure cleanliness, organization, and proper stocking of supplies. Maintain visiting offices and temporary workspaces by ensuring they are cleaned, organized, and fully prepared for daily use. Support operational service requests, including supply deliveries, event support, equipment setup, and other hospitality-related tasks. Utilize room reservation systems, scheduling tools, and office software to manage hospitality operations efficiently. Provide support for occasional after-hours events, including setup, coordination, service, and breakdown activities. Collaborate with internal departments and vendors to ensure seamless meeting and event execution. Maintain high standards of professionalism, presentation, and customer service in all guest and employee interactions. Adapt to changing priorities and manage multiple responsibilities in a fast-paced environment.
KNOWLEDGE, SKILLS & ATTRIBUTES
Strong hospitality and customer service skills with a concierge-level service mindset. Excellent verbal and written communication skills with the ability to interact professionally with guests, clients, and colleagues. Strong organizational and multitasking abilities in a fast-paced environment. High attention to detail and commitment to maintaining professional presentation standards. Ability to work independently while collaborating effectively within a team environment. Flexibility and adaptability in managing evolving operational priorities. Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel. Familiarity with room booking systems, scheduling software, and workplace technology tools preferred. Ability to maintain professionalism under pressure while delivering high-quality service. Strong problem-solving skills and ability to respond proactively to guest and operational needs. Ability to lift or move 40 lbs. or greater. Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs. Ability to walk, bend, kneel, stand or sit for an extended period of time.
QUALIFICATIONS
Education:
High School Diploma or GED required.
Experience:
Minimum of 1 year of work experience required; hospitality, food & beverage, hotel, or client service experience preferred. Experience in professional office hospitality or conference services is a plus.
Technical Skills:
Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel. Experience using room reservation systems, scheduling platforms, or workplace service tools preferred. Ability to learn and navigate hospitality and workplace technology systems efficiently. The Compensation range for this role is 20.00 to 22.50 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
