OPERATIONS MANAGER
Overview:
The operations manager is responsible for the efficient running of the company. All issues having to do with the trucks, truck teams, managing employees, and achieving the stated KPI and truck based marketing goals will be managed by this position. You are also in a position to set the culture of the company. Managing your people with a positive attitude and gaining their trust is your number one responsibility.
Office Day Responsibilities:
Arrive on time and open office. Review jobs and routes ensuring they are scheduled efficiently and the required resources are dispatched. Assist the FP with morning meetings. Go over daily KPI goals with TTs. Inspect marketing goals in the field. Review truck checklists and replace missing equipment and facilitate truck maintenance for trucks. Ensure delivery of QFA's by: Providing proper tools to crews including cell phone to ensure, "On-time Service". Providing clean, laminated price-list for "Up-Front Rates". Arranging to get trucks washed as needed to ensure, "Clean, Shiny Trucks". Enforce and represent truck team uniform standards to ensure, "Friendly, Uniformed Drivers". Work with TTM Coaches on training of new staff, and re-training of existing staff as needed. Respond to any issues that come up with trucks (flats, accidents, coordination to complete jobs for day). Perform check-in calls with all trucks. Enter truck journals in Pipeline. Complete cash out procedure and create bank deposits. Make bank deposits. Perform Welcome calls using the welcome call script. Check emails and respond to any requests within 24 hours. Ensuring proper truck parking and identify new locations as required. Returning all phone messages promptly (urgent messages within 1 hour, non-urgent messages within 24 hours) Managing schedule to complete jobs efficiently and to minimize overtime pay. Receive truck journals from crews (or arrange for morning drop-off). Email GM if crew is not to receive profit share for that day for lateness, missing tools, incorrect paperwork, etc... Send start time and truck info to TTM's for next day Close down office
Weekly Responsibilities:
Preparation for monthly Goal Setting & Review session with General Manager. Meeting with General Manager and lead TTM for GS&R session every other week. Oversee weekly truck inspection and cleaning. Make employee schedule for following week.
Monthly Responsibilities:
Perform on-going training and refresher courses to keep the team sharp. Conduct monthly safety meeting using PowerPoint. Include best practices and discussion topics. Reconcile dump and gas expenses
Ongoing Responsibilities:
Ensure trucks are fully outfitted with everything required to provide the service including: tools, resource list, price list (laminated), insurance certificates, emergency kit, and first-aid kit. Develop and maintain systems to keep trucks parked in high visibility spots for marketing, and ensure they are free of tickets and moved with sufficient frequency to avoid annoyance in any given neighborhood. 5.
