The Food & Beverage Administrator serves as the central coordination point for the food and beverage operations, combining administrative support with a high-touch guest and member service presence. This role ensures seamless communication between leadership, the culinary team, the service team, and members while maintaining operational accuracy, organization, and elevated hospitality standards.
Responsibilities:
Support daily operations of the Food and Beverage outlets, including coordination of documentation and communication distribution. Maintain accurate records for menus, pricing updates, events and special promotions, serving as the liaison between the Communications department and the Food & Beverage management team. Coordinate purchase orders, vendor communication, and invoice tracking as needed. Prepare reports, spreadsheets, and operational summaries for leadership review. Serve as a welcoming point of contact for members and guests regarding dining reservations, events, and special requests. Assist with reservation management and special occasion coordination. Respond to inquiries in a timely and professional manner, ensuring a high level of guest satisfaction and member experience. Collaborate with the service and culinary teams to ensure seamless guest experiences across all dining outlets. Support the planning and execution of private dining events, banquets and club functions. Coordinate with the culinary and service teams to ensure accurate event details and timelines. Assist with the menu printing, signage, and event materials. Ensure accurate communication of event requirements to all departments involved. Act as a liaison between front-of-house and back-of-house teams. Distribute daily updates, operational changes, and important announcements. Help maintain a professional, service-focused culture. Assist with projects as assigned.
Required Qualifications:
1-3 Years of experience in hospitality, food and beverage, administrative support, or guest services. Organizational and multi-tasking skills in a fast-paced environment. Written and verbal communication skills. Proficiency in Microsoft Office. Experience with POS systems and reservation platforms preferred. Attention to detail and commitment to service excellence Professional demeanor with a guest-first mindset. This position will be subject to a criminal background check and drug test.
