Job Description

Beverly Companies is seeking a highly organized and detail-oriented Operations Administrator to support daily operations for our landscape and snow removal divisions. This position plays a key role in coordinating field operations, managing work order systems, assisting with scheduling and routing, supporting billing and job costing processes, and ensuring strong communication between field staff, management, and customers. The ideal candidate is proactive, dependable, comfortable working in a fast-paced environment, and capable of managing multiple priorities during both landscape and snow seasons. Key Responsibilities Manage and maintain the company work order management system Create, update, and monitor service work orders for landscape and snow operations Assist with daily job scheduling and route coordination for field crews Support operational efficiency by helping optimize crew routing and service logistics Review and approve employee timesheets for accuracy and job allocation Assist with job costing, labor tracking, and operational reporting Prepare snow service billing documentation and assist with invoice processing Train foremen and field staff on proper work order system usage and procedures Communicate with customers regarding service scheduling, updates, and follow-up requests Coordinate internally with operations managers, account managers, and field supervisors Maintain accurate records, service documentation, and operational data Assist with administrative and operational projects as assigned Provide support during snow events, including extended or flexible hours when needed Qualifications Previous experience in administrative, operations, or dispatch roles preferred Experience in landscaping, snow removal, construction, or service industries is a plus Strong computer and data entry skills Experience with scheduling, routing, or work order software preferred Excellent organizational and multitasking abilities Strong communication and customer service skills Ability to work effectively in a fast-paced environment Detail-oriented with strong problem-solving skills Ability to work independently and as part of a team Proficiency in Microsoft Office programs including Excel, Outlook, and Word Bilingual Preferred- English and Spanish Work Environment Office-based position with frequent coordination with field operations Seasonal workload fluctuations, especially during snow operations Availability for occasional early mornings, evenings, weekends, or weather-related emergency operations during snow events Benefits Competitive compensation based on experience Health insurance and additional benefits available Paid time off and holidays Professional development opportunities Opportunity to grow within a stable and growing company
Pay:
$65,000.00 - $85,000.00 per year
