POSITION OVERVIEW
Sara Gregory Solutions & Logistics LLC is seeking a strong, organized and accountable Operations & Compliance Lead to help manage our Last Mile Delivery Service Partner operation at WIL5 in Quincy. This position serves as the immediate supervisor and trainer for dispatch personnel while managing essential operational and administrative functions. The right candidate will bring structure, follow-through and calm leadership to a fast-paced delivery environment. This is not a basic administrative position. We need a hands-on leader who can train employees, enforce procedures, manage competing priorities, solve routine problems independently and provide the owner with concise, decision-ready information.
KEY RESPONSIBILITIES
Dispatch Supervision and Training Serve as the immediate supervisor for dispatch personnel. Train and coach dispatchers on route monitoring, driver communication, rescue coordination, escalation procedures and opening and closing responsibilities. Establish clear daily expectations and hold staff accountable for performance. Review opening and closing reports for accuracy and completeness. Assign work, monitor completion and provide documented performance feedback. Make recommendations concerning additional training, corrective action and staffing changes. Daily Operations Support daily route readiness, staffing coordination and load-out execution. Monitor route progress, attendance, call-offs, rescues, sweepers and operational exceptions. Ensure operational issues are properly documented and escalated. Coordinate communication among drivers, dispatchers, station personnel and company leadership. Identify developing problems before they affect route completion or customer service. Help maintain consistent operating procedures across all shifts. Payroll and Employee Administration Review employee time records, pay rates, attendance information and payroll exceptions before owner approval. Coordinate routine payroll corrections with employees and the payroll provider. Maintain accurate employee, onboarding, training, performance and policy-acknowledgement records. Track candidate progress, background checks, training schedules and ride-along readiness. Assist with employee evaluations, coaching documentation and administrative follow-through. Escalate sensitive employee-relations, medical, legal or termination matters to the owner and HR consultant. Compliance and Audit Coordination Maintain a master calendar of Amazon, insurance, payroll and regulatory deadlines. Coordinate documentation for wage-and-benefit audits, operational audits and compliance requests. Collect, organize and review required records before submission. Monitor outstanding compliance items and follow up with responsible parties. Immediately escalate missed deadlines, inaccurate records or potential compliance concerns. Fleet and Vendor Administration Maintain accurate fleet records, including VINs, vehicle assignments, rental status, keys, insurance status, maintenance needs and grounded vehicles. Monitor fleet systems and coordinate correction of inaccurate information. Work with fleet contractors, rental companies, repair vendors and insurance representatives. Track vehicle issues from initial report through resolution. Review routine invoices and confirm charges against services received. Escalate major repairs, claims, contracts and unbudgeted expenses to the owner. Amazon and Business Administration Monitor operational email accounts and identify messages requiring action. Maintain an action-item tracker showing the responsible person, deadline and completion status. Prepare routine responses and documentation for client, WIL5, vendors and business partners. Review weekly performance reports and identify trends requiring attention. Provide the owner with a concise weekly report covering performance, staffing, payroll, fleet, compliance, unresolved risks and decisions needed. Handle routine matters independently while escalating material financial, legal, safety and personnel decisions.
AUTHORITY AND ACCOUNTABILITY
The Operations & Compliance Lead will have authority to: Direct and evaluate dispatch personnel. Assign operational and administrative work. Enforce established policies and operating procedures. Resolve routine staffing, fleet, payroll and vendor matters. Require timely documentation and follow-through from assigned personnel. Recommend coaching, corrective action, discipline or staffing changes. Represent SGS1 in routine operational communications. Final authority regarding hiring, termination, compensation, major expenses, contracts, legal matters and significant escalations remains with the owner.
PERFORMANCE INCENTIVE
The person selected may earn up to $5,000 annually in performance incentives, generally paid in quarterly amounts of up to $1,250. Bonus consideration will be based on documented results in areas including: Daily staffing, dispatch and route execution Amazon performance and required operational metrics Dispatcher development and accountability Payroll accuracy and timely exception resolution Fleet readiness and record accuracy Audit and compliance completion Employee onboarding and documentation Safety and policy compliance Accurate and timely reporting to the owner Performance incentives are not guaranteed. Eligibility and payment amounts are based on achievement of established goals, satisfactory overall performance and compliance with company policies.
REQUIRED QUALIFICATIONS
At least three years of experience in operations, logistics, transportation, dispatch, compliance, payroll, human resources or a related environment. Previous experience supervising, training or leading employees. Demonstrated ability to establish structure and hold employees accountable. Strong organizational, problem-solving and follow-through skills. Experience managing deadlines, records, reports and multiple workstreams. Strong written and verbal communication skills. Proficiency with Microsoft Office, Google Workspace or comparable business systems. Ability to work independently and recognize when owner escalation is required. Ability to maintain confidentiality involving payroll, personnel and medical information. Valid driver's license, acceptable driving record and reliable transportation. Ability to work on-site at 4301 Wisman Lane in Quincy and remotely.
PREFERRED QUALIFICATIONS
Last-mile delivery, transportation or fleet experience. Experience with ADP or another payroll and HR information system. Experience coordinating audits or compliance documentation. Experience supervising dispatchers, drivers or hourly employees. Working knowledge of vehicle rental, maintenance and fleet-record systems.
