This is a dynamic role for someone who enjoys solving problems, improving processes, and creating organization. You'll work directly with ownership to ensure our businesses operate efficiently by managing critical administrative functions, coordinating daily operations, and helping implement systems that support continued growth. No two days will look exactly the same, making this an ideal opportunity for someone who thrives in a fast-paced environment and enjoys taking ownership of a wide variety of responsibilities. Key Responsibilities Administrative & Financial Operations Manage accounts payable, including invoice review, payment processing, and vendor communication. Process payroll accurately and maintain employee records. Assist with bookkeeping, financial reporting, and administrative accounting functions. Coordinate banking, deposits, and other financial administrative tasks. Maintain organized digital and physical filing systems. Business Operations Support the daily operations of multiple businesses, ensuring administrative processes run smoothly. Develop, document, and improve operational procedures and workflows. Coordinate business licenses, permits, insurance renewals, and regulatory compliance. Manage office systems, subscriptions, and vendor relationships. Assist with purchasing, inventory coordination, and operational projects as needed. Identify opportunities to improve efficiency and streamline day-to-day operations. Human Resources & Team Support Coordinate employee onboarding and new hire paperwork. Maintain personnel files and assist with HR administration. Support scheduling, training coordination, and employee communication. Assist leadership with special projects and company initiatives. Executive Support Work directly with ownership to prioritize projects and administrative initiatives. Prepare reports, organize information, and coordinate follow-up on key business priorities. Handle confidential information with professionalism and discretion. Serve as a trusted resource for managers across multiple businesses. Qualifications Experience in business operations, office management, administration, accounting, or a related field. Strong organizational and time management skills with the ability to manage multiple priorities simultaneously. Comfortable working independently while taking initiative to solve problems. Excellent communication and interpersonal skills. Experience with Microsoft Office, Google Workspace, and QuickBooks or similar accounting software preferred. High attention to detail and commitment to accuracy. Ability to maintain confidentiality and exercise sound judgment.
