Job Description

Position Overview :
The Center Operations Coordinator plays a pivotal role in ensuring the day-to-day operations of the center run smoothly and efficiently. This individual will be responsible for supporting staff, managing daily tasks, ensuring the center is well-stocked, providing customer service, and creating a positive environment for both staff and families. This position also involves implementing policies, conducting new hire orientations, managing staff morale, and promoting the overall success of the center.
Key Responsibilities :
Daily Operations Management :
Oversee daily operational tasks, including monitoring class ratios, managing daily break lists, handling staff call-ins, and providing support with children's behaviors. Assist with sick children and communicate with parents when necessary. Act as a support system for staff by listening to concerns and providing solutions for classroom issues.
Inventory and Supplies Management :
Ensure the center is fully stocked with necessary supplies, including Costco orders, paper goods, cleaning supplies, and classroom materials. Regularly assess inventory and place orders as needed to maintain smooth operations.
New Staff Onboarding and Training :
Implement and review new hire policies and procedures during onboarding and orientation. Conduct building tours for new staff and familiarize them with classroom locations, supply storage, and operational essentials (clocking in/out, fingerprinting, etc.).
Staff Support and Guidance :
Provide support to all teachers, offering guidance and backing to lead teachers and assistants. Ensure adherence to policies and procedures, addressing concerns and feedback directly with staff. Be available to staff for questions, guidance, and support, even when off the clock.
Communication :
Respond to emails and phone calls promptly, addressing inquiries related to enrollment, childcare, staff concerns, and more. Provide tours to potential families when the Program Administrator is unavailable and explain enrollment processes, classroom activities, and necessary forms. Review new family enrollment paperwork with parents and ensure it is completed accurately.
Relationship Building :
Build strong, friendly relationships with both families and staff. Learn and remember each parent and child's name, fostering a welcoming and supportive environment.
Staff Morale and Team Building :
Work closely with Program Administrator to improve staff morale and retention, creating a respectful, fun, and supportive work environment. Assist with team bonding activities, center parties, spirit weeks, and other staff engagement events.
Classroom and Licensing Oversight :
Ensure classrooms comply with licensing requirements and maintain proper standards. Regularly visit classrooms for morale boosting, feedback, and follow-ups on classroom improvements.
Staff Meetings and Training :
Collaborate with Program Administrator to create and lead staff meetings, focusing on areas of growth, achievements, and center-wide improvements. Monitor and encourage staff completion of training through MIRegistry and ensure they complete 12 hours of professional development annually.
Administrative and Organizational Duties :
Maintain up-to-date records, including staff schedules, staff hours, and attendance. Ensure cleanliness and organization within the office and throughout the center. Manage closing, opening, and cleaning checklists for staff.
Customer Service and Engagement :
Ensure that all staff are welcoming and greet parents and children positively each day. Regularly update and maintain the entryway and staff recognition boards to foster a sense of pride and appreciation.
Emergency Drills and Safety :
Assist the Program Administrator in conducting emergency drills (fire, tornado, etc.), ensuring staff and children are familiar with procedures.
Additional Responsibilities :
Organize staff recognition efforts such as birthday cards, anniversary gifts, and other tokens of appreciation. Collaborate with the Program Administrator and lead staff to create and distribute surveys to gather feedback and improve the center.
Qualifications :
High school diploma or equivalent required; relevant experience in early childhood education or childcare management preferred. Previous experience in a supervisory or leadership role within a childcare setting is highly desired. Strong communication, organizational, and interpersonal skills. Ability to multitask and handle multiple priorities effectively. Must be familiar with licensing regulations and the ability to implement and enforce them. Ability to work independently and as part of a team. Must be flexible, reliable, and able to work in a fast-paced environment. CPR and First Aid certification preferred (or willing to obtain).
Physical Requirements :
Ability to stand, walk, and occasionally lift up to 25 lbs. Ability to interact with children and staff throughout the day. Ability to move freely throughout the building and classrooms.
Pay:
$19.00 - $22.00 per hour
