As our organization continues to grow, we are seeking an experienced and results-driven Legal Operations Manager to lead operational activities within our contested legal portfolio and litigation support functions. This highly visible leadership position serves as a key partner to Firm leadership and plays a critical role in driving performance, accountability, workflow efficiency, and client satisfaction. Position Summary The Legal Operations Manager is responsible for overseeing the operational execution of contested legal matters, managing legal support personnel, improving workflow efficiency, and ensuring compliance with client requirements, court rules, regulatory expectations, and Firm policies. Reporting directly to an Attorney Partner, this position serves as a key operational leader responsible for coordinating activities across legal, compliance, client services, and operational departments to ensure matters progress efficiently and consistently. The ideal candidate is a proactive leader with strong litigation experience, exceptional organizational skills, sound judgment, and a continuous-improvement mindset. This individual must be comfortable managing multiple priorities in a fast-paced environment while fostering accountability and professional development among team members. Key Responsibilities Legal Operations Leadership- Manage the day-to-day operations of the legal department.
- Provide leadership, coaching, and guidance to legal support staff.
- Establish performance expectations and promote a culture of accountability and continuous improvement.
- Assist with staffing, workload distribution, resource allocation, and operational planning.
- Monitor departmental productivity, service levels, and operational performance metrics. Litigation Operations & Case Management
- Oversee operational workflows associated with contested legal matters.
- Ensure timely movement of cases through internal processes and external legal requirements.
- Coordinate with attorneys and legal staff regarding deadlines, priorities, and case progression.
- Identify workflow barriers, escalations, and operational risks and implement appropriate solutions.
- Support implementation of litigation strategies through effective workflow management and operational execution. Client Relationship Management
- Serve as an operational liaison for clients regarding contested matters and legal processes.
- Ensure timely and professional communication regarding case status, operational concerns, and resolution activities.
- Build and maintain positive working relationships with clients through responsiveness, accuracy, and accountability.
- Support client service initiatives and help ensure client expectations are consistently met. Process Improvement & Continuous Improvement
- Evaluate workflows and operational processes to identify opportunities for improvement.
- Develop and implement policies, procedures, and best practices to enhance efficiency and consistency.
- Monitor trends, operational metrics, and performance indicators to support decision-making.
- Lead initiatives focused on quality improvement, productivity enhancement, and risk reduction.
- Support organizational efforts to improve service delivery and operational effectiveness. Compliance & Risk Management
- Ensure operational activities are performed in accordance with Firm policies, client requirements, court rules, and regulatory expectations.
- Assist with internal audits, compliance initiatives, and operational reviews.
- Identify operational risks and partner with Firm leadership to develop mitigation strategies.
- Support implementation and maintenance of internal controls and documentation standards.
- Promote a culture of compliance, accountability, and operational excellence. Cross-Functional Collaboration
- Partner with attorneys, compliance personnel, operations teams, accounting, technology, and executive leadership.
- Coordinate activities across departments to ensure efficient and timely resolution of operational matters.
- Facilitate communication and alignment among stakeholders on projects, priorities, and initiatives.
- Support strategic organizational objectives through effective operational leadership. Qualifications Required
- Minimum 5 years of experience in civil litigation, law firm management, paralegal management, legal project management, or a related professional services environment.
- Strong organizational, analytical, and problem-solving skills.
- Exceptional written and verbal communication abilities.
- Ability to lead teams while managing multiple priorities and deadlines.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams. Preferred
- Experience within creditors' rights, collections, litigation, financial services, or other highly regulated environments.
- Prior law firm management or legal operations leadership experience.
- Experience developing and implementing policies and procedures.
- Experience managing client relationships in a professional services environment.
