Job Overview
LUMIR LLC
is seeking a detail-oriented and highly organized Property Accounting & Operations Coordinator to support the day-to-day accounting and administrative needs of our real estate portfolio in downtown Holland. This position will support accounts payable, tenant invoicing, insurance tracking, utility coordination, tenant and vendor records, and limited website and marketing updates. The ideal candidate enjoys working with numbers, maintaining accurate records, managing recurring responsibilities, and supporting a small, collaborative team. Duties Process accounts payable, including invoice intake, coding, approval routing, and payment preparation. Maintain accurate vendor information and assist with vendor inquiries. Prepare tenant rent invoices, recurring charges, and utility billings. Assist with accounts receivable follow-up and maintain tenant account documentation. Track security deposits and maintain supporting records. Assist with annual 1099 preparation and audit or documentation requests. Track expiration dates for tenant and vendor certificates of insurance. Request updated insurance certificates and maintain organized electronic insurance files. Coordinate insurance documentation for tenant move-ins, vendors, and claims as directed. Coordinate utility transfers for tenant move-ins and move-outs. Maintain tenant files, vendor files, lease documentation, and other electronic records. Support lease abstracting and rent roll updates in Yardi. Assist with tenant communications related to billing, insurance, utilities, and administrative follow-up. Update Lumir's website content and basic property information as directed. Maintain available-space listings and assist with basic property marketing materials. Coordinate property photography and listing updates. Work with brokers and internal team members to help keep property information current. Provide general accounting, property administration, and operational support as needed. Requirements Two to five years of experience in bookkeeping, accounts payable, accounts receivable, office administration, property management, or a related position preferred. Associate degree in accounting, business, administration, or a related field preferred. Equivalent relevant experience will also be considered. Strong attention to detail, accuracy, confidentiality, and follow-through. Strong organizational and time-management skills. Ability to manage recurring responsibilities and multiple priorities independently. Proficiency in Microsoft Excel, Word, and Outlook. Clear and professional written and verbal communication skills. Ability to communicate effectively with tenants, vendors, brokers, and internal team members. Experience with accounting or property management software preferred. Experience with Yardi is helpful but not required. Experience updating websites, property listings, marketing materials, or social media is helpful but not required. Ability to work full-time and in person in Holland, Michigan. Join us in curating a downtown to be proud of! Up to $65,000.00 per year
