This position is responsible for coordinating the daily transactional flow of the business—from purchasing raw materials through customer shipment and invoicing—while supporting continuous process improvement and future ERP implementation. Procurement Responsibilities:
Work closely with the Director of Operations, Vice President, CEO, and production teams to ensure materials are available to support manufacturing schedules. Create, issue, and manage purchase orders. Coordinate procurement of direct materials (pipe, valves, fittings, etc.) and indirect materials (consumables, packaging, office supplies, etc.). Communicate with suppliers regarding pricing, lead times, delivery schedules, shortages, and order status. Work with engineering and operations to ensure material requirements are accurately communicated to suppliers Maintain accurate purchasing records and documentation.
Shipping & Logistics:
Schedule outbound freight through customer shipping portals. Coordinate shipment readiness with production and warehouse personnel. Generate and verify Bills of Lading (BOLs), shipping paperwork, and customer documentation. Ensure shipments meet customer scheduling, documentation, and compliance requirements. Resolve shipping discrepancies with customers, carriers, and internal departments.
Accounting & Invoicing:
Create, review, and issue customer invoices immediately following shipment. Verify invoice accuracy using customer pricing, shipment records, and purchase order requirements. Support timely invoicing to improve cash flow and minimize aged receivables. Assist with customer billing questions and invoice discrepancies. Support day-to-day accounting operations, including Accounts Receivable (AR) and Accounts Payable (AP) Match purchase orders, packing slips, vendor invoices, and shipping documentation to ensure accurate transaction processing. Maintain organized accounting documentation supporting financial reporting and audit requirements. Work closely with management to improve accounting procedures and internal business processes.
ERP & Process Improvement:
Support implementation of the company's ERP system in all aspects. Assist with vendor, customer, item, and purchasing master data management. Participate in data validation, system testing, and workflow development. Help standardize purchasing, shipping, invoicing, and accounting processes. Support continuous improvement initiatives throughout the business.
What Success Looks Like:
Purchase orders are created accurately and on time. Materials arrive before production requires them. Shipments leave on schedule with complete documentation. Customer invoices are issued accurately and immediately following shipment. Vendor and customer documentation is complete and organized. Internal teams always know the status of orders and shipments. Purchasing, shipping, and accounting records remain accurate and current. Business processes continue to improve as the company grows.
Experience with QuickBooks, Microsoft Excel, Microsoft Word, and general business software. Experience with Accounts Receivable (AR), customer invoicing, billing, or accounting support. Experience creating and managing purchase orders. Experience coordinating suppliers, purchasing activities, or vendor communication. Experience scheduling freight, coordinating shipments, or supporting logistics operations. Experience working in a manufacturing, purchasing, supply chain coordination, operations, or business support environment. Familiarity with Bills of Lading (BOLs), packing slips, purchase orders, and shipping documentation. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple responsibilities in a fast-paced manufacturing environment. Strong written and verbal communication skills.
