Job Description

Company Overview:

Our clinics are recognized for excellence in chronic disease management, low-cost care, and providing comprehensive medical services to patients at all stages of life. Overview The Director of Operations oversees the administrative and operational functions of the family medical practice, ensuring efficient patient services, regulatory compliance, strong staff performance, and financial stability. Working closely with leadership, this role aligns operations with the practice's mission of delivering high-quality, patient-centered care while fostering a positive, team-oriented culture. The Director must be adaptable and skilled at solving both day-to-day operational issues and broader organizational challenges.
Duties:
Oversee day-to-day operations of the medical practice, including front office, billing, scheduling, and clinical support functions. Collaborate with the administrator and committee leaders to develop and implement strategies that support practice objectives and priorities. Facilitate and attend operational meetings including weekly, monthly, and quarterly reviews with departmental heads and the administrator to assess progress, address issues, and align priorities. Communicate with departmental heads to ensure each team's activities align with practice goals, maximizing efficiency and productivity through process analysis and interdepartmental collaboration. Identify and implement process improvements to optimize patient flow and reduce wait times. Serve as the primary liaison for the organization's telecommunications and IT infrastructure, assisting with troubleshooting, server management, system access requests, and coordination with IT vendors and support teams as appropriate. Coordinate IT onboarding and offboarding for employees, including establishing and deactivating system access, email accounts, telecommunications setup, credential provisioning, and recovery of company technology assets in accordance with security policies Address and resolve escalated patient concerns in a timely and professional manner. Assist manager with staff scheduling, payroll coordination, and benefits administration in partnership with HR. Review and verify completed staff timecards following manager approval. Work closely with Human Resources to lead with integrity and maintain a trusting, inclusive, and productive work environment. Ensure compliance with HIPAA, OSHA, CMS, and other applicable federal, state, and local regulations Maintain strict confidentiality of all patients, employee, and organizational information in accordance with applicable laws, regulations, and company policies Maintain required accreditation and licensure documentation for the practice
Qualifications:
Bachelor's degree in Healthcare Administration, Business Administration, or a related field; or equivalent job experience directly related to this position. Minimum 5 years of progressive management experience in a medical practice or healthcare setting. Strong leadership skills with a history of supervising senior teams and managing large-scale projects. Expertise in strategic planning, process improvement, and change management methodologies. Excellent communication skills with the ability to influence stakeholders at all levels of the organization. Knowledge of healthcare regulations, accreditation standards, and quality improvement practices. Ability to travel between three sites locally.
