JOB PURPOSE
The Operations Manager works closely with the Program Director and executive leadership to support organizational and client success by providing operational oversight, structure, and coordination across programs and services. This role helps ensure efficient day-to-day operations, effective communication, consistent implementation of organizational processes, and alignment with program goals and standards. The ideal candidate demonstrates flexibility, emotional intelligence, strong organizational skills, and the ability to navigate complex challenges and problem-solve effectively in a dynamic environment.PRIMARY DUTIES & RESPONSIBILITIES
Client Safety, Support & Engagement 1. Assist with non-clinical client needs and concerns, including client complaints, housing or transportation issues, UA/BA coordination, and other operational concerns. 2. Serve as a point of contact for clients who need direction, information, or operational support. 3. Welcome and orient new clients to the program and assist with their transition into the program environment. 4. Monitor client attendance and participation in scheduled programming, including completing rounds, following up with absent clients, and obtaining appropriate documentation for missed sessions when required. 5. Foster a safe, structured, respectful, and supportive environment for clients and staff. 6. Respond appropriately to client behavioral concerns, crises, and safety issues, including de-escalation and coordination with clinical or leadership staff as appropriate. 7. Support crisis interventions, including ACA blocking/intervention when applicable, contacting emergency services when necessary, and coordinating additional support. 8. Complete incident reports accurately and in a timely manner. 9. Maintain appropriate professional boundaries with clients and staff and address or report potential boundary concerns in accordance with organizational policies. Operations & Floor Leadership 11. Provide direct oversight of daily operations within assigned program locations to ensure a safe, organized, and structured environment. 12. Actively work on the floor as needed to support BHT staff, client supervision, engagement, and adherence to program expectations. 13. Monitor program flow, client movement, staffing coverage, and daily operations to ensure consistency and continuity. 14. Identify operational barriers and develop practical solutions to support efficient program functioning. 5. Ensure facility spaces, group rooms, offices, and common areas are maintained according to organizational standards. Staff Supervision & Development 19. Provide direct supervision, guidance, coaching, and support to all operational staff, including appraising staff performance on a regular basis. 26. Develop and maintain BHT schedules to ensure appropriate staffing and coverage based on program needs, including managing staff call-outs, schedule changes, and shift coverage to maintain safe staffing levels. Transportation & Program Logistics 31. Coordinate client transportation needs, including scheduling, vehicle usage, and adherence to transportation safety protocols. 32. Monitor facility needs, cleanliness, supplies, equipment, and overall operational readiness. Communication & Collaboration 36. Communicate professionally and effectively with clients, staff, leadership, referral sources, and other stakeholders. 37. Respond to and appropriately prioritize incoming calls, texts, emails, and other communications. 38. Accurately identify, organize, and communicate pertinent information to the appropriate members of the leadership or interdisciplinary team. 39. Maintain clear and consistent communication with the Program Director and Program Director regarding staffing, client concerns, operational issues, and significant incidents. 40. Ensure timely escalation and reporting of incidents, safety concerns, staffing issues, and operational disruptions in accordance with organizational protocols. Compliance & Administration 49. Maintain compliance with organizational policies, applicable state and federal regulations, and accreditation standards. 50. Maintain knowledge of and adherence to client confidentiality requirements, including HIPAA and applicable state and federal confidentiality laws. 51. Complete all required compliance, confidentiality, safety, and boundary training. 52. Assist the executive and compliance leadership teams with maintaining organizational compliance with applicable regulatory and accreditation requirements, including The Joint Commission.EXPECTATIONS 1. Education / Experience 1. A high school diploma or equivalent. 2. 1+ years management experience. 3. Education and working knowledge of substance use and mental health disorders. 4. A valid driver's license.PREFERRED QUALIFICATIONS
