Job Description
Operations and Client Coordinator Role Overview:
At ATG Entertainment, the Operations and Client Coordinator plays a vital role in keeping our events running smoothly and our clients well taken care of. You will be the primary point of contact for corporate event planners, school advisors, and mitzvah planners, ensuring their questions are answered promptly and professionally. You'll take charge of DJ team scheduling and availability coordination, confirming all event details well ahead of time to prevent last-minute surprises. By proactively managing communications and logistics, you enable ATG to grow efficiently while maintaining the high-quality experiences our clients expect. Within your first 90 days, you will confidently own the day-to-day operations, freeing the owner to focus on strategic growth.Key Responsibilities:
- Serve as the main client-facing contact for corporate event planners, school advisors, and mitzvah planners, managing their communications with professionalism and care.
- Independently coordinate DJ team scheduling and availability, ensuring smooth coverage across all events.
- Proactively track DJ blackout dates and availability to catch scheduling conflicts months in advance.
- Confirm all event logistics at least 72 hours prior to each event, ensuring clients and staff are fully prepared.
- Manage high-volume client communications via calls and emails with same-day responses.
- Manage the full lead lifecycle from initial inquiry through post-event follow-up using ATG's CRM and event management systems.
- Utilize CRM or event management software to organize client and event information efficiently.
- Collaborate with team members to support multiple simultaneous events and projects.
- Represent ATG during vendor visits to venues, caterers, and event partners during slower periods, fostering strong industry relationships and supporting community engagement.
Required Skills & Qualifications:
- Proven experience managing client communications and scheduling in a fast-paced environment, ideally with corporate and school clients.
- Strong organizational skills with the ability to coordinate logistics and schedules for multiple events simultaneously.
- Ability to take ownership of outcomes and hold yourself to a high standard.
- Proficiency with CRM or event management software.
- Excellent written and verbal communication skills, especially in client-facing roles.
Nice-to-Have Skills:
- Experience in events, hospitality, or entertainment industries.
- Familiarity with GoHighLevel, BeatPilot, DJ Event Planner, Salesforce, ClickUp, and Google Workspace.
- Any graphic design or video editing skills to support marketing efforts.
- Comfortable engaging in vendor relationship visits as an ATG ambassador.
- Experience supporting hiring processes including application review and candidate screening.
