Operations Manager Reports To :
Administrator / Executive Leadership Job Summary The Operations Manager is the agency's on-sight operational leader and is accountable for the overall performance, coordination, and oversight of day-to-day business procedures. This position ensures delivery of safe, compliant, efficient, and client-centered services while maintaining operational excellence, workforce readiness, financial stewardship, and organizational scalability. The Operations Manager provides direct oversight of administrative, scheduling, billing, dispatch, onboarding, compliance, intake, and support functions while ensuring staff are aligned with agency goals and performance expectations. Direct Reports Scheduler Dispatcher Secretary Biller Director of Nursing (administrative oversight only) Essential Duties and Responsibilities Operational Leadership Direct and oversee all agency operations. Establish operational priorities and performance expectations. Develop and implement operational workflows and procedures. Ensure departments function cohesively and efficiently. Lead operational improvement initiatives. Manage day-to-day operational decision-making. Office Administration and Support Services Maintain accountability for overall office operations. Oversee administrative workflows and office processes. Ensure office systems support efficient service delivery. Monitor supply management, vendor relationships, and facility operations. Ensure administrative staff provide effective support to agency functions. Maintain a professional and organized office environment. Client Intake and Onboarding Oversight Oversee intake processes from referral through admission. Ensure timely processing of client inquiries and assessments. Monitor admission workflows and client onboarding procedures. Ensure smooth transitions from inquiry to service initiation. Identify and resolve intake barriers. Staffing and Workforce Management Maintain accountability for staffing readiness and workforce capacity. Monitor staffing trends, retention, productivity, and turnover. Approve hiring recommendations and workforce plans. Oversee onboarding and orientation processes. Partner with the Community Relations & Business Development Manager regarding recruitment and staffing needs. Develop staffing strategies that support census growth. Compliance and Regulatory Oversight Maintain readiness for audits, surveys, and licensing reviews. Monitor compliance with state, federal, payer, and agency requirements. Ensure employee and client records remain audit-ready. Oversee investigation and resolution of compliance concerns. Implement corrective action plans when necessary. Quality Assurance and Performance Improvement Lead quality assurance activities. Monitor operational and compliance indicators. Analyze service quality outcomes and trends. Implement performance improvement initiatives. Ensure accountability for corrective actions. Client Service Oversight Ensure quality and continuity of client services. Review and resolve escalated client concerns. Monitor client satisfaction and retention metrics. Oversee service recovery efforts and complaint resolution. Financial and Revenue Cycle Oversight Monitor labor utilization and staffing efficiency. Review operational expenses. Partner with the Biller regarding revenue cycle performance. Analyze operational impacts on profitability. Support budgeting and forecasting activities. Identify efficiency opportunities. Growth Support and Scalability Ensure systems, staffing, and infrastructure support census growth. Collaborate with the Community Relations & Business Development Manager regarding growth opportunities. Evaluate operational readiness for expansion. Implement scalable systems and operational improvements. Support agency strategic initiatives. Employee Leadership and Development Conduct coaching, evaluations, and performance reviews. Implement performance improvement and corrective action plans. Develop leadership and professional growth within staff. Promote accountability, teamwork, and service excellence. Reporting and Metrics Develop operational dashboards and reports.

Qualifications Education and Experience Minimum of a Bachelor's degree in Healthcare Administration with 5 years of operational leadership or equivalent Military Officer Training Minimum 3-5 years of progressive leadership experience. Home care, healthcare, or human services management experience preferred. Demonstrated experience managing staff and operational performance. Pay:
$60,000.00 per year
