Operations Coordinator The Head Spa Sanctuary | Pineville, NC Full-Time | Primarily Monday-Friday The Head Spa Sanctuary is a rapidly growing wellness company seeking an exceptionally organized, proactive and dependable Operations Coordinator to help keep the people, systems and behind-the-scenes operations of our business running smoothly. This is not a traditional front-desk position and it is not a service-provider role. This person will work closely with ownership and leadership to support the administrative infrastructure behind a large, fast-moving spa team. We are looking for someone who genuinely loves organization, follow-through, problem-solving and getting things done. What You'll Own Recruiting & Hiring Administration Maintain active recruiting pipelines for open positions Post positions and monitor applicants Conduct initial candidate screening Coordinate and schedule interviews Maintain interview notes and candidate documentation Communicate with candidates throughout the hiring process Coordinate offers and pre-employment requirements Onboarding & Employee Administration Coordinate new-hire onboarding and orientation Maintain accurate and complete employee/personnel files Ensure required documentation, certifications and licenses are collected and current Coordinate onboarding with department leaders and trainers Track completion of required training Support employee offboarding and administrative changes Scheduling & Staffing Support Support leadership in maintaining accurate staff schedules Monitor staffing needs, availability, time-off requests and upcoming coverage gaps Assist with identifying and filling open shifts Maintain visibility into provider availability and open books Help leadership proactively identify staffing issues before they become operational emergencies Payroll & Administrative Support Assist with payroll preparation and first-pass review Track and resolve timekeeping discrepancies before payroll deadlines Support ownership with reporting and administrative follow-through Inventory & Back-of-House Operations Support recurring inventory counts Identify supply needs and communicate purchasing requirements Help maintain organized back-of-house systems Coordinate occasional business errands, including supply pickups, grocery runs and banking needs Assist with special projects and operational initiatives as needed Training Coordination Coordinate training schedules between new hires, trainers and department leadership Maintain training records and completion tracking Help ensure employees are appropriately trained before being released independently Support leadership in organizing ongoing company training What This Role Does Not Own This distinction is important in our leadership structure. The Operations Coordinator is not the Manager on Duty responsible for running the spa floor each day . Our MOD team owns real-time guest experience, building operations and shift execution. This role also does not replace our department leadership. Provider coaching, service quality and provider development are led by our Provider Manager. Instead, the Operations Coordinator owns the administrative infrastructure that allows those leaders to lead effectively. Who We're Looking For This role is ideal for someone who sees a loose end and instinctively wants to tie it up. You should be someone who can manage many moving pieces without becoming overwhelmed, communicates clearly, follows through without repeated reminders and takes genuine pride in creating order. You will likely thrive here if you: Are exceptionally organized and detail-oriented Enjoy checklists, systems, schedules and documentation Are comfortable holding people accountable to deadlines Can communicate professionally with a wide variety of personalities Are comfortable working independently and making appropriate decisions Notice problems before someone has to point them out Can distinguish between something you can solve yourself and something that needs escalation Are technologically comfortable and learn new systems quickly Handle confidential employee and business information with discretion Enjoy working in a growing company where processes continue to evolve Are comfortable with accountability and measurable expectations Don't need every day to look exactly the same Experience in operations, office management, recruiting, HR administration, hospitality, healthcare, wellness, salons/spas or another high-volume service business is highly desirable.
Pay:
$20.00 - $22.00 per hour Expected hours: 40.0 per week
