Job Description

About the Position Longleaf Animal Hospital is seeking a People & Operations Manager to join our leadership team and take ownership of the employee and day-to-day people-management functions of our growing veterinary practice. This is not a traditional desk-only HR position. We are looking for a hands-on leader who is comfortable managing employees, solving problems, developing systems, holding people accountable, and stepping in wherever needed to keep the hospital operating effectively. The People & Operations Manager will work closely with the Practice Manager and Owner/Medical Director. This position will primarily own the people and daily operational side of the practice , allowing the Practice Manager to focus on finance, purchasing, vendors, business development, and growth while the Owner/Medical Director focuses on medical leadership and patient care. Veterinary experience is helpful but is not required. Strong leadership, employee-management, organizational, and problem-solving skills are more important. We are willing to teach the right person the veterinary side of the business. Primary Responsibilities The People & Operations Manager will have primary responsibility for employee-related matters throughout the practice, including: Managing day-to-day employee relations and serving as the primary management contact for staff concerns Creating and managing employee schedules and coordinating staffing coverage Managing attendance, tardiness, call-outs, PTO requests, and other scheduling issues Recruiting, interviewing, hiring coordination, onboarding, and orientation Managing employee performance, coaching, counseling, corrective action, and disciplinary documentation Addressing employee conflicts, complaints, workplace concerns, and interpersonal issues Coordinating performance evaluations and employee development Developing and maintaining training programs, training manuals, policies, procedures, and SOPs Ensuring new employees are properly trained and integrated into the practice Maintaining appropriate personnel documentation and employee records Coordinating employee separations and offboarding Assisting with workers' compensation, unemployment, leave, and other employment-related administrative matters Monitoring staffing needs and making hiring and workforce recommendations to leadership Helping develop a professional, accountable, positive workplace culture Coordinating daily hospital workflow and resolving operational or staffing problems Communicating important employee and operational issues to the Practice Manager and Owner/Medical Director Assisting with staff meetings, training sessions, and internal communication Providing administrative and executive support to the Owner/Medical Director when needed Assisting at reception or in other appropriate areas of the hospital when necessary to maintain operations What We're Looking For We are looking for someone who is confident managing people and is comfortable having difficult conversations when necessary. The right candidate should be able to build strong relationships with employees while maintaining appropriate management boundaries and accountability.
An ideal candidate will be:
Highly organized and able to manage multiple priorities Comfortable making decisions and solving problems independently Confident handling employee conflict, coaching, and disciplinary situations Consistent and fair in applying workplace policies An effective written and verbal communicator Able to maintain strict confidentiality regarding employee and business matters Comfortable working directly with owners and senior leadership Willing to be hands-on rather than simply delegating responsibilities Able to identify a problem, develop a solution, and carry it through to completion Comfortable working in a fast-paced environment where priorities can change quickly Previous experience in human resources, people management, operations management, office management, healthcare management, veterinary management, or another employee-intensive service business is strongly preferred. Prior veterinary experience is not required . Leadership Structure This position is part of a collaborative leadership team with clearly defined areas of responsibility. The People & Operations Manager will primarily own employees, HR, scheduling, training, performance management, and day-to-day people operations. The Practice Manager will primarily oversee finance, budgeting, payroll administration, purchasing, inventory, vendors, pricing, business development, strategic planning, and practice growth. The Owner/Medical Director retains overall ownership and medical leadership of the hospital. Benefits This is a full-time salaried position.
