Overview - Guest Services & Conference Coordinator A prestigious AM100 law firm is seeking a polished Guest Services & Conference Coordinator to deliver an exceptional experience for attorneys, clients, and visitors while supporting the firm's meeting and hospitality operations. This highly visible position serves as the face of the office, ensuring conference facilities and guest services are maintained to the firm's highest standards. The ideal candidate is organized, service-oriented, and thrives in a fast-paced professional environment. Key Responsibilities for Guest Services & Conference Coordinator Serve as the primary point of contact for clients, visitors, and attorneys, providing a welcoming and professional experience. Coordinate conference room reservations, meeting schedules, and room setups for internal and external events. Arrange catering, audiovisual equipment, and meeting materials to ensure seamless execution of meetings and presentations. Monitor conference rooms and common areas to maintain cleanliness, organization, and readiness throughout the day. Partner with administrative staff, vendors, and building management to support hospitality services and resolve operational needs. Assist with reception responsibilities, including greeting guests, notifying employees of arrivals, and answering inquiries. Support special events, client programs, and office initiatives while handling last-minute requests with professionalism and efficiency. Qualifications for Guest Services & Conference Coordinator Minimum of 3 years of experience in guest services, conference services, hospitality, reception, or another client-facing corporate environment. High school diploma required; Associate's or Bachelor's degree preferred. Strong customer service and interpersonal skills with a polished and professional demeanor. Excellent organizational skills with the ability to manage multiple priorities in a fast-paced setting. Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. Ability to communicate effectively with executives, attorneys, clients, vendors, and internal staff. Dependable, detail-oriented, and able to exercise sound judgment while maintaining confidentiality and delivering exceptional service.
