About the Position Garden City Public Library is seeking an experienced, organized, and collaborative Operations Director to join our administrative leadership team. Working closely with the Library Director, the Operations Director is responsible for overseeing the Library's financial operations, procurement, facilities, and administrative functions , while providing support and guidance on personnel matters. This is a hands-on leadership position that requires sound judgment, strong organizational skills, attention to detail, and the ability to work effectively with staff, the Library Board, Village officials, vendors, and members of the public. What You'll Do Financial & Administrative Operations Oversee the Library's financial and procurement processes in coordination with the Principal Account Clerk and Account Clerk. Review financial transactions, reports, payroll analyses, vendor claims, and supporting documentation. Monitor expenditures and assist with budget management and financial planning. Review and approve appropriate purchasing and procurement requests. Work with Village Finance and other Village departments on financial and administrative matters. Review monthly financial statements and claims prepared for the Library Board. Present financial reports and updates to the Library Board. Personnel Administration Work alongside the Library Director on personnel and staffing matters. Provide administrative support and guidance regarding personnel issues. Review and approve employee timecards in ADP. Review biweekly payroll analyses prepared by the Principal Account Clerk and ensure payroll records are accurate and consistent. Work collaboratively with the Library Director regarding staffing and operational needs. Facilities & Building Operations Oversee the Library's Maintenance Team and the day-to-day operation of the Library facility. Work with the Maintainer to identify, prioritize, and address building maintenance and repair needs. Coordinate with Village departments regarding building repairs, infrastructure, and facility-related issues. Review and approve facility improvements and projects within the Library's authority and budget. Ensure facility concerns are addressed promptly and appropriately. Present facilities updates and projects to the Library Board. Leadership & Collaboration Serve as a key member of the Library's two-person administrative leadership team. Supervise and coordinate the work of the Library's finance and facilities teams. Establish priorities and develop practical solutions to operational challenges. Maintain effective working relationships with Library staff, Village officials, contractors, vendors, and the Library Board. Help ensure that Library operations are efficient, financially responsible, and aligned with the Library's mission and policies.
