POSITION SUMMARY
The Tournament Operations Director is the accountable owner of the tournament calendar in an assigned market or region. The role is responsible for executing events on the Flag Football Life calendar, consistent with FFL operating standards, maximizing revenue opportunities and ensuring high levels of customer service and delivering the revenue and margin the calendar is planned to produce. This position works directly with Sr. Leadership in assisting sales and marketing objectives and ensuring financial targets are met. The position sits at the intersection of operations and sales.. Teams are won through relationships with clubs, coaches, and directors, and kept through the quality of the event they experience on site. The Tournament Operations Director owns both halves of that equation, and does so while driving play into Capacity Sports Group owned and managed venues as the first priority. Success is measured in team counts and retention, in revenue per event and ancillary revenue capture, in field and facility utilization, and in the consistency of the event experience from one weekend to the next.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Calendar Ownership and Event Planning Owns the execution of annual event calendar for the assigned market, including event selection, dates, format, age and competitive divisions, capacity targets, and pricing, in alignment with national standards. Sequences events across the season to maximize field utilization and revenue yield, and adjusts the calendar when demand, weather, or competitive activity requires it. Builds and maintains the operating plan for each event, covering field allocation, schedule construction, staffing, officials, equipment, and vendor requirements. Coordinates the calendar with venue leadership and with other sport verticals competing for the same dates, fields, and staff. Team Acquisition, Sales, and Retention Drives renewal and retention of returning teams, treating repeat participation as the primary measure of event quality. Builds and maintains the relationships in the market that determine where teams choose to play, and represents Flag Football Life and Capacity Sports Group as the primary point of contact for participating organizations. Partners with marketing on campaign timing, messaging, and registration conversion for each event on the calendar. Event Execution and On Site Leadership Serves as the senior Flag Football Life and Capacity Sports Group representative on site during events, accountable for the experience delivered to teams, families, and spectators. Directs game day operations including check in, field readiness, schedule management, rain and weather contingency, protest and conduct resolution, and communication to participants. Enforces branded event standards so that every event delivers a consistent experience regardless of market or operator of origin. Conducts a documented post event review of every event, covering financial results, participant feedback, operational failures, and the corrective actions carried into the next event. Venue Utilization and Facility Partnership Partners with venue leadership on field allocation, scheduling, surface and maintenance planning, and the facility requirements each event depends on. Identifies capacity constraints and provides the demand case supporting field, lighting, or amenity investment at assigned sites. Manages relationships and contracts with third party facilities used to supplement owned inventory, including rate negotiation and performance expectations. Financial Performance Manages event level costs including officials, staffing, equipment, facility rental, and supplies against plan. Grows non entry fee revenue in partnership with the responsible departments, including food and beverage, hospitality and room block programs, retail, and local sponsorship. Reports results, risks, and forecast changes to leadership on the organization's standard operating cadence. Staff, Officials, and Vendor Management Recruits, schedules, trains, and supervises event staff, seasonal personnel, and volunteers, and sets the performance expectations by which they are measured. Manages officials assignment in partnership with the responsible provider or internal function, and holds officiating quality to a defined standard. Manages vendors serving assigned events, including performance, cost, and compliance with Capacity Sports Group requirements. Systems, Data, and Reporting Maintains accurate event, team, and participant data in the organization's registration, scheduling, and customer platforms. Uses participation and retention data to inform calendar, pricing, and format decisions rather than relying on precedent. Contributes market intelligence on competitor events, pricing, and calendar activity to national leadership. Risk, Safety, and Compliance Ensures events are operated in compliance with sanctioning body rules, participant safety requirements, weather and emergency action plans, and applicable local regulations. Escalates incidents, injuries, and conduct matters through the established reporting process. Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position supervises regular staff and a seasonal event workforce that expands significantly during the competitive season. The role carries accountability for the assigned calendar's budget, for the performance and cost of contracted officials providers, facility partners, and event vendors, and for matrixed working relationships with venue, marketing, food and beverage, and finance leaders whose teams support event delivery on site.
REQUIRED QUALIFICATIONS
Education Bachelor's degree in sport management, business, hospitality, or a related field, or an equivalent combination of education and directly relevant experience. Experience Five or more years in youth or amateur sports, events, or a related operations environment, including direct responsibility for planning and executing multi day, multi field events. Demonstrated experience acquiring and retaining participants, teams, or customers, including outbound relationship building. Experience managing event budgets, including revenue targets and direct cost control. Experience supervising staff, seasonal personnel, or contracted providers in a live event setting. Licenses and Certifications Valid driver's license required. [ Insert any sanctioning body, first aid, or background screening requirements. ]
PREFERRED QUALIFICATIONS
Experience operating events inside owned or managed multi field venues, with responsibility for utilization and field allocation. Established relationships across the club, league, and coaching landscape in the assigned market. Experience with registration, scheduling, or tournament management platforms. Familiarity with the ancillary revenue model in youth sports, including food and beverage, hospitality, sponsorship, and lodging. Experience bringing an independently operated event onto a common operating and brand standard.
KNOWLEDGE, SKILLS, AND ABILITIES
Commercial instinct. Runs the calendar to a number, understands what drives team counts and yield, and adjusts when performance diverges from plan. Relationship builder. Earns trust with coaches, club directors, and families, and converts that trust into repeat participation. Operational composure. Makes sound decisions quickly under weather delays, schedule disruption, and on site conflict, without losing the room. Logistical precision. Plans events to a level of detail that makes the weekend uneventful, and anticipates failure points before they occur. Staff leadership. Directs a largely seasonal workforce to a consistent standard, and develops people who return season after season. Prioritization. Sequences competing demands on limited fields, staff, and dates, and defends the sequence. Documentation discipline. Leaves behind plans, records, and post event findings that allow the next event to start ahead of the last one.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
Work is performed in a standard office environment and at venue and event locations, including outdoor field complexes with exposure to heat, cold, sun, and inclement weather, and active event spaces with elevated noise levels. The role requires prolonged periods working at a computer, and, during events, extended periods standing and walking across large multi field sites, with occasional lifting and moving of equipment weighing up to 50 pounds. Substantial evening, weekend, and holiday work is required throughout the competitive season in support of the event calendar.
TRAVEL REQUIREMENTS
Approximately [ 25 to 40% ], concentrated during the competitive season. Regular travel to event sites within the assigned market and region, with periodic travel to national meetings and to other Capacity Sports Group venues.
COMPENSATION AND BENEFITS
This is a salaried, full time, W-2 position paid on the company's regular bi-weekly payroll schedule, one week in arrears, with applicable federal, state, and local taxes withheld. The position is eligible for a performance bonus tied to event and market results. Business travel expenses incurred in the performance of assigned duties are reimbursed in accordance with company policy.
